Job Description

Position Overview

The Executive Associate to the CEO will provide comprehensive administrative, operational, and analytical support to the Chief Executive Officer. This role is responsible for ensuring smooth coordination of strategic initiatives, communication flow, and project execution across clinical, operational, and administrative functions. The ideal candidate must have a strong understanding of healthcare operations, excellent communication skills, and the ability to work effectively in a fast-paced hospital environment.

Key Responsibilities

1. Executive Support

  • Manage and coordinate the CEOs calendar, meetings, appointments, and travel plans.
  • Prepare agendas, minutes, presentations, and reports for internal and external meetings.
  • Ensure timely follow-up on action items assigned by or to the CEO.

2. Strategic & Operational Coordination

  • Support execution of organizational initiatives, hospital projects, and improvement plans.
  • Assist the CEO in monitoring KPIs, operational dashboards, and compliance reports.
  • Coordinate with cross-functional teams to ensure timely completion of strategic goals.

3. Communication & Stakeholder Management

  • Act as a liaison between the CEO’s office and department heads, clinicians, and external partners.
  • Draft emails, memos, and communications on behalf of the CEO.
  • Maintain confidentiality and manage sensitive information with professionalism.

4. Data Analysis & Reporting

  • Collect and analyze operational, patient care, quality, and financial data.
  • Prepare executive summaries, MIS reports, and productivity insights for decision-making.

5. Project Management

  • Assist in planning, tracking, and monitoring hospital projects such as new service lines, digital transformation, accreditation, and operational efficiency programs.
  • Ensure accurate and timely submission of project deliverables and reports.

Skills & Competencies

  • Strong understanding of hospital operations (IP/OP workflows, NABH standards, quality indicators).
  • Excellent written and verbal communication skills.
  • Strong analytical, documentation, and problem-solving abilities.
  • Proficiency in Excel, PowerPoint, and Hospital Information Systems (HIS).
  • Ability to multitask, prioritize, and perform under pressure.
  • High level of discretion and professionalism in handling confidential information.

Qualifications

  • MBA in Hospital Management / Healthcare Administration (preferred).
  • Bachelor's degree in healthcare or management (preferred).
  • Prior experience as an Executive Assistant / Executive Associate to senior leadership in healthcare is an added advantage.
