About the Role

We are seeking a Cybersecurity Operations Specialist to manage the deployment and execution of Portfolio CREST (Cyber Risk Evaluation and Strategic Tracking), our portfolio-wide cybersecurity risk management program.

This role will serve as the operational backbone for scaling CREST assessments across approximately 40 portfolio companies, ensuring seamless coordination, communication, and progress tracking throughout each engagement lifecycle.

This is a unique opportunity to build and refine processes for a newly launched strategic initiative while working directly with senior cybersecurity professionals and portfolio company leadership teams.

Primary Responsibilities

Program Coordination & Tracking

• Manage assessment progress across 40+ portfolio companies simultaneously, maintaining detailed tracking of milestones, deliverables, and deadlines

• Monitor engagement timelines and proactively identify risks to schedule adherence

• Maintain centralized program dashboard with real-time status updates for leadership visibility

• Coordinate document collection and uploads to the Cynomi risk management platform

Stakeholder Communication & Engagement Management

• Send initial welcome letters, data request lists (DRL), and milestone reminders to portfolio companies

• Develop and maintain library of templated communications to ensure consistency and efficiency • Serve as primary point of contact for scheduling and logistical questions from portfolio companies

• Escalate technical or strategic questions to senior assessment team members as appropriate

Meeting & Calendar Management

• Schedule and coordinate all kick-off meetings, stakeholder interviews, observations reviews, and final report discussions

• Manage rescheduling requests and calendar conflicts across multiple time zones and stakeholder groups

• Prepare meeting agendas, pre-reads, and follow-up summaries as needed

• Ensure assessment team has adequate preparation time and materials for each engagement Process Optimization & Documentation

• Identify opportunities to streamline workflows and reduce time burden on portfolio companies and assessors

• Implement process improvements that enhance program efficiency and stakeholder experience

• Document end-to-end CREST assessment processes, playbooks, and standard operating procedures

• Create training materials and onboarding documentation for future assessment team members

Administrative Support

• Maintain organized filing systems for all engagement documentation and deliverables

• Track and report key program metrics (completion rates, timeline adherence, stakeholder satisfaction)

• Support preparation of executive summaries and program status updates

• Coordinate with IT, legal, and other internal teams on platform access and compliance requirements

• Provides tracking status as part of ongoing reporting to management

Required Qualifications:

• 3-5 years of professional experience in operations, project coordination, program management, or similar role

• Experience managing multiple concurrent projects or engagements with competing priorities

• Demonstrated success working in ambiguous or startup-like environments where processes are being built

• Background/interest in cybersecurity, risk management, consulting, or private equity portfolio operations is a plus Skills & Competencies
