Job Description

Key Responsibilities


Inventory & Store Management

  • Maintain accurate inventory of all materials, consumables, perishables, and operating equipment.
  • Ensure proper storage, labeling, and FIFO (First In, First Out) practices.
  • Conduct weekly and monthly physical stock audits and maintain stock ledgers.


Procurement & Vendor Coordination

  • Coordinate with approved vendors for purchase orders and ensure timely deliveries.
  • Negotiate with vendors for competitive pricing, quality assurance, and credit terms.
  • Maintain vendor performance reports and purchase documentation.


Cost Control & Compliance

  • Monitor consumption patterns and highlight variances or leakages.
  • Work closely with F&B / Housekeeping / Engineering to manage usage and reduce wastage.
  • Ensure compliance with hotel SOPs, audit standards, statutory requirements, and hygiene protocols.


Department Coordination

  • Raise purchase requisitions in coordination with relevant departments.
  • Ensure timely issuance of materials to departments as per approved SOPs.
  • Maintain strong coordination with Accounts for bills, GRNs, and payment tracking.


Reporting & Documentation

  • Prepare daily/weekly/monthly inventory reports.
  • Maintain accurate records of GRN, issue slips, purchase orders, and vendor bills.
  • Present consumption reports to management and support budget planning.


What We’re Looking For

Qualifications

  • Bachelor’s degree in Commerce, Supply Chain, Logistics, or Hospitality (preferred).
  • Minimum

    3–6 years of experience

    in a hotel store / inventory / procurement role.
  • Strong knowledge of hotel operations (F&B, HK, Engineering).


Skills

  • Excellent understanding of inventory systems & cost control.
  • Proficiency in MS Excel, Inventory Management Systems, PMS/POS tools.
  • Strong negotiation, communication, and documentation skills.
  • Detail-oriented, disciplined, and proactive mindset.
