Job Summary:

We are seeking a Shipping Disbursement Accounts Executive to manage and control NVOCC, vessel-related financial transactions, including preparation and reconciliation of port disbursement accounts. The role involves close coordination with NVOCCs , Shipping lines , Freight forwarders , vendors , port agents, suppliers, and internal finance teams to ensure timely and accurate settlements.

Key Responsibilities:

· Prepare Accounts Payable (AP) and Accounts Receivable (AR) statements.

· Process payments for various shipping and container lines on a weekly and monthly basis.

· Prepare financial and operational reports, including expenditure and variance analyses.

· Manage reporting and communication with principals and external stakeholders.

· Prepare and review invoices and other accounting documents for accuracy and completeness.

· Reconcile bank accounts and maintain accurate financial records.

· Maintain and back up financial databases, accounting software systems, and manual filing systems.

· Coordinate with internal and external auditors to support audit processes.

· Prepare Proforma Disbursement Accounts (PDA) and Final Disbursement Accounts (FDA) for vessel calls.

· Verify port invoices, supplier bills, and service charges prior to settlement.

· Reconcile vessel advances, record expenses, and ensure timely submission of FDAs.

· Perform Detention and Demurrage (DET/DEM) calculations and ensure timely cost recovery.

· Prepare MGA (Monthly General Accounts) and detailed Cost & Recovery reports for management review.

· Prepare and analyze Key Performance Indicator (KPI) reports to evaluate operational and financial efficiency.

· Coordinate with principals, port agents, and internal teams for cost clarifications and approvals.

· Maintain up-to-date records and prepare MIS reports on vessel-related expenses.

· Ensure compliance with accounting standards, company financial policies, and shipping cost guidelines.

Qualifications & Skills:

•⁠ ⁠Education: B.Com / BBA / Bachelor’s in Finance or Accounting.

(MBA or Diploma in Shipping / Logistics preferred)

•⁠ ⁠Experience: 3+ years in shipping accounts or port disbursement accounting.

•⁠ ⁠Software Skills: MS Excel, Tally / ERP / Zoho Books, and knowledge of DA systems.

•⁠ ⁠Key Skills: Attention to detail, numerical accuracy, coordination, and communication skills.
