Job Overview
The Senior Administrative Officer will play a crucial role in overseeing and optimizing the administrative and financial support functions at PIMT. This position requires a highly organized, detail-oriented, and proactive individual with a strong background in financial administration, particularly within the NBFC or financial services sector. The ideal candidate will be responsible for managing complex financial transactions, ensuring regulatory compliance, and providing strategic administrative support to the leadership team.
Key Responsibilities
Financial Management & Compliance
- Oversee Fee Collection: Supervise and streamline the collection of all institute-related payments (tuition, examination, etc.) across various payment modes (cash, bank transfer, UPI).
- Financial Reporting & Analysis: Prepare comprehensive weekly, monthly, and quarterly financial reports, including detailed fee collection summaries, outstanding dues, and revenue forecasts for the Branch Head and senior management.
- Audit & Compliance: Ensure strict adherence to internal financial policies and external regulatory guidelines relevant to educational institutions and financial transactions. Facilitate internal and external audits.
- Financial Reconciliation: Conduct regular reconciliation of fee ledgers, bank statements, and collection registers to ensure accuracy and resolve discrepancies.
- Budgeting & Planning Support: Assist in the development of fee structures, discount policies, and financial planning initiatives, leveraging experience from the NBFC sector to optimize financial operations.
- Software Integration: Collaborate closely with the IT/ERP team to ensure seamless data synchronization between financial transactions and the PIMT database, optimizing system efficiency.
Dues Management & Follow-Up
- Advanced Dues Management: Develop and implement robust strategies for identifying and recovering outstanding fees, utilizing advanced reporting and communication techniques.
- Stakeholder Communication: Manage escalated cases of pending payments, engaging with students and guardians through professional and persuasive communication channels (calls, SMS, emails).
Administrative Leadership & Support
- Documentation Management: Oversee the meticulous maintenance of all critical documents related to admissions, student records, ID cards, certificates, and comprehensive financial records.
- Operational Coordination: Lead and coordinate administrative processes during admissions, examinations, and other key institute events, ensuring efficient inter-departmental collaboration.
- Process Improvement: Identify opportunities for improving administrative and financial workflows, implementing best practices from the financial and NBFC sectors to enhance efficiency and accuracy.
- Team Support: Provide guidance and support to junior administrative staff in financial and operational tasks.
Data Management & Reporting
- Database Integrity: Ensure the accurate and timely entry and updating of all student and financial data in software systems, maintaining high standards of data integrity and confidentiality.
- Custom Reporting: Generate custom reports and analytical insights on financial performance and administrative efficiency as required by management.
Skills and Competencies Required
- Financial Acumen: In-depth understanding of financial processes, accounting principles, and audit procedures, ideally with experience in an NBFC or financial services environment.
- Software Proficiency: Advanced proficiency in MS Office (Excel, Word, PowerPoint) and Tally. Experience with ERP systems and financial management software is essential.
- Analytical Skills: Strong analytical and problem-solving abilities with exceptional attention to detail and accuracy in financial data.
- Communication: Excellent verbal and written communication skills, with the ability to articulate complex financial information clearly and professionally.

Education and Experience
- Education: Bachelor’s degree in Commerce, Business Administration, Finance, Mathematics, or a related field. A Master's degree or professional certification (e.g., in Finance or Accounting) is a plus.
- Experience: 5 to 8 years of progressive experience in administrative and financial roles, with a significant portion of that experience in the financial services or NBFC sector.
- Industry Knowledge: Proven familiarity with educational institution fee structures, financial audit, and reporting processes. Experience with regulatory compliance in financial transactions is highly preferred.
