Job Title: Manager - School Operations

Location - Mumbai, Pune, Aurangabad


Job Summary


The Manager - School Operations is responsible for ensuring the smooth and efficient functioning of the assigned school branch(es). The role involves overseeing branch operations, admissions and collections, parent and stakeholder management, staff coordination, transport, campus maintenance, and compliance, while working closely with cross-functional teams to achieve operational excellence and revenue targets.


Key Responsibilities

1. Marketing, Admissions & Collections

  • Ensure 100% fee collection with zero unpaid fee cases on a monthly basis.
  • Monitor and ensure timely transport fee collections.
  • Ensure first-term fees are paid on time by all parents.
  • Collect fines and other miscellaneous income as applicable.
  • Achieve assigned admissions and revenue targets.
  • Plan and execute marketing activities, events, campaigns, and tie-ups in the designated area.
  • Establish and manage pre-school tie-ups to support admissions growth.
  • Train and develop team members across Accounts, Operations, Maintenance, Vendor Management, and CRM.

2. Branch Operations & Administration

  • Ensure smooth day-to-day operations of the assigned school branch.
  • Oversee tuition fee collections, campus maintenance, and transport operations.
  • Prepare and analyze operational data and generate reports for management review.
  • Handle all non-academic grievances and ensure timely resolution.
  • Maintain and monitor inventory and asset management.
  • Track inward and outward movement of materials and assets.
  • Coordinate with cross-functional teams including Marketing, Academics, Logistics, Procurement, Projects, and Corporate Office.
  • Conduct interviews and support recruitment of administrative staff.

3. Parent Handling & Customer Experience

  • Act as the front-facing representative for parents on all non-academic matters.
  • Address parent concerns professionally and ensure high levels of satisfaction.
  • Build and maintain strong parent relationships to support retention and trust.

4. Complaint Management

  • Ensure all complaints recorded in the Complaint Register are addressed and resolved promptly.
  • Follow up with Front Office, Accounts, and Campus In-charge to ensure timely closure of issues.
  • Track complaint trends and work on preventive and corrective actions.

5. Staff & HR Coordination

  • Monitor and maintain staff strength and attendance records.
  • Ensure attendance is accurately marked and validated by the Executive Assistant (EA).
  • Serve as the HR point of contact for attendance, payroll coordination, and staff concerns.
  • Coordinate with the Corporate HR team for employee grievances and resolutions.
  • Ensure recruitment data is properly maintained by the front office.
  • Support recruitment by collecting data from nearby schools and play schools.

6. Transport Management

  • Oversee daily school transport operations.
  • Ensure timely maintenance and roadworthiness of buses.
  • Ensure all buses have functional GPS/GPRS systems for real-time parent updates.
  • Ensure regular breath analyzer tests are conducted for drivers.

7. Campus Maintenance & Safety

  • Ensure overall campus maintenance and cleanliness.
  • Review and update the Maintenance Register daily.
  • Ensure playgrounds, courts, and all facilities are safe and well-maintained.
  • Coordinate with vendors for timely maintenance and repairs.

8. Trustee & Stakeholder Management

  • Handle administrative coordination with Trustees and key stakeholders.
  • Participate in and support quarterly reviews.
  • Coordinate for required cheque signatures and approvals.

9. Finance & Vendor Management

  • Track and reconcile daily and monthly collections.
  • Manage petty cash and ensure proper documentation and compliance.
  • Coordinate and process vendor payments and attendance.
  • Ensure financial records are accurate and audit-ready.
