Purchase Executive – Interior Design Company
TUD Spaces is a growing interior design and execution firm based in Ahmedabad, specializing in residential and commercial interior solutions. Our projects require timely availability of quality materials, cost efficiency, and strong vendor coordination. To support smooth project execution, we are seeking a responsible and detail-oriented Purchase Executive to join our team.The Purchase Executive will play a vital role in managing procurement activities for interior design projects. This role involves sourcing materials, negotiating with suppliers, issuing purchase orders, and ensuring timely delivery of materials as per project requirements. The ideal candidate should have good knowledge of interior materials, strong coordination skills, and the ability to manage multiple vendors and timelines effectively.The primary responsibility of the Purchase Executive is to source and procure materials such as plywood, laminates, hardware, fittings, lighting, sanitaryware, furniture, décor items, and other interior-related products. The candidate will be responsible for identifying reliable vendors, obtaining quotations, comparing prices, and negotiating terms to achieve cost-effective purchasing without compromising quality.The Purchase Executive will prepare purchase orders as per approved budgets and specifications, ensuring accuracy in quantities, rates, and delivery timelines. Regular coordination with design teams, site engineers, and project managers will be required to understand material specifications and site requirements. Ensuring timely delivery of materials to site or warehouse is a critical responsibility of this role.The role also includes verifying materials received at site or warehouse in terms of quantity and quality. Any discrepancies, damages, or shortages must be promptly addressed with vendors. The Purchase Executive will handle returns, replacements, and follow-ups to ensure uninterrupted project progress.Close coordination with the accounts team is essential. The Purchase Executive will ensure proper documentation of purchase bills, delivery challans, and vendor invoices for timely payment processing. Maintaining accurate vendor records, price lists, and purchase data is an important part of daily operations.Inventory and cost control are key aspects of this role. The Purchase Executive will monitor material usage, track consumption, and support inventory management to avoid shortages or excess stock. Ensuring that purchases align with project budgets and cost plans is essential to maintain project profitability.The ideal candidate should have strong negotiation skills, good knowledge of interior materials, and the ability to multitask in a fast-paced environment. Proficiency in MS Excel and basic documentation is required. Attention to detail, cost awareness, and good communication skills are critical for success in this role.A graduate degree in any discipline is required, with preference given to candidates with experience in interior design, construction, or real estate procurement. - Execute end-to-end procurement for office operations and facility needs: source, RFQs, evaluate quotes, issue purchase orders and follow-up to delivery.
- Manage vendor lifecycle: identify suppliers, negotiate terms and pricing, maintain rate cards and ensure SLA compliance.
- Control inventory and stock levels across sites: conduct periodic stock audits, reconcile discrepancies and raise replenishment orders.
- Coordinate logistics and inward goods processes: receive, inspect, record GRNs and resolve delivery or quality issues with vendors.
- Maintain accurate procurement records and dashboards: update PO logs, vendor performance metrics and weekly procurement reports for stakeholders.
- Collaborate with operations, finance and facilities teams to optimize spend, implement cost-saving initiatives and ensure timely availability of materials.
