Product Operations Associate
to support Norstella’s central Product Operations organization. This role will support the Product Operations Manager in driving operational efficiency, ensuring roadmap clarity, and enhancing cross-functional alignment throughout the product lifecycle.The ideal candidate is curious, organized, and has experience as an analyst or associate in processes, ideally in the area of software development, product management or commercial aspects of a software product. You will help maintain systems, manage documentation, build AI-first processes, help in creating as-is and to-be target state of operational processes, streamline onboarding workflows, and support data-driven decision-making across the Product, Client Success, Tech, and BI teams.
Responsibilities
Product Ops Support & Analytics
- Assist in analyzing product usage and performance trends using Power BI, Tableau, SQL, or similar tools to support product strategy and operational insights.
- Support development and maintenance of KPI dashboards and standardized reporting views.
- Handle basic ad hoc data requests and help ensure consistency and accuracy across dashboards.
- Collaborate with senior team members to validate KPIs and maintain data integrity across systems.
Roadmap, Planning & Workflow Support
- Maintain and enhance tools and systems used for roadmap planning, product onboarding, workflow tracking, and automated reporting.
- Support the coordination of New Product Development (NPD) activities by tracking tasks, milestones, and documentation status.
- Assist in maintaining and improving tooling integrations (e.g., Jira–Monday syncs) and other operational automations.
- Help operationalize product launch plans by preparing checklists, ensuring documentation readiness, and tracking dependencies.
Documentation & SOP Management
- Develop, update, and maintain product documentation, including requirement specifications, SOPs, process maps, onboarding frameworks, and product readiness materials.
- Maintain SOPs related to software installations, data access, user flows, and reporting workflows.
- Ensure documentation versions are current and accessible to cross-functional stakeholders.
Cross-Functional Coordination
- Facilitate communication between Product, BI/DW, Client Success, Engineering, and PMO teams to support transparency, alignment, and execution across product initiatives.
- Help collect and consolidate stakeholder feedback for the Product Operations Manager.
- Ensure teams have access to the latest information, SOPs, and operational updates.
Operational Excellence & Experimentation
- Maintain process-flows across swimlanes for product operations and identify automation frontier, i.e. parts of the workflow that can be automated.
- Assist in identifying workflow gaps and opportunities for process improvement.
- Support experiments involving AI-driven automation or agentic tools to increase efficiency in product operations.
- Participate in retrospectives and process reviews to recommend actionable improvements.
Qualifications
- Bachelor’s degree in Business Analytics, Computer Science, Engineering, or a related field.
- At least 2-4 years of experience in product operations, PMO for software products, Client Success, project coordination, SaaS operations, or similar domains.
- Familiarity with analytical tools such as Power BI, Tableau, SQL, Excel; ability to quickly breakdown complex tasks into chunks and work through independently is important.
- Exposure to workflow tools such as Jira, Monday.com, Gainsight PX, or other product analytics platforms is a plus.
- Strong organizational skills with an ability to maintain documentation and manage multiple tasks.
- Excellent communication skills, especially in cross-functional contexts.
- Curiosity, willingness to learn, and a proactive mindset toward problem-solving, especially in the usage of automation and AI tools to improve operational effectiveness.
