Job Title: Operations Manager Department: Operations Reports to: Clinic Director/Owner Job Summary: The Operations Manager is a pivotal role within Thind Dental Clinic, responsible for overseeing and coordinating the day-to-day operations of the clinic, ensuring smooth and efficient workflow, and maintaining a positive and productive work environment. This multifaceted role requires a proactive and highly organized individual with experience in HR, administration, and operational management. The successful candidate will be responsible for a wide range of tasks, from human resources functions and stock control to reception management and promoting clinic growth through outreach and marketing support. Key Responsibilities: Human Resources (HR) Duties: Employee Relations: Act as the first point of contact for staff inquiries and concerns, addressing personal issues sensitively and effectively. Performance Management: Assist with performance evaluations, providing feedback and support to staff to enhance their skills and performance. Disciplinary Action: Assist in the process of disciplinary actions, ensuring adherence to company policies and employment law. Recruitment Support: Assist with the recruitment process, including job posting, screening of applications, and scheduling interviews. Onboarding: Manage the onboarding process for new employees, ensuring they are properly trained and integrated into the team. Payroll Management: Verify and process monthly salaries, ensuring accuracy and timely payment. Review and approve other bills related to staff expenses. Attendance Management: Monitor staff attendance, manage leave requests, and ensure accurate record-keeping. Store Management: Inventory Control: Manage and maintain accurate records of all dental supplies and equipment. Ordering and Procurement: Place orders for necessary supplies, ensuring timely delivery and cost-effectiveness. Stock Rotation: Implement a system for proper stock rotation to minimize waste and ensure the use of fresh materials. Vendor Management: Liaise with suppliers and vendors to ensure competitive pricing and reliable service. Card Management: Patient Record Management: Oversee the organization and security of patient records, both physical and electronic. Insurance Verification: Assist with verifying patient insurance coverage and processing claims. Payment Processing: Manage patient payments, including cash, credit card, and insurance payments. Reception & Register Management: Reception Oversight: Ensure the smooth operation of the reception area, providing a welcoming and efficient experience for patients. Appointment Scheduling: Oversee the appointment scheduling process, maximizing clinic efficiency and patient satisfaction. Patient Communication: Manage patient communication via phone, email, and in-person, ensuring timely and professional responses. Register Management: Maintain accurate records of daily transactions and reconcile cash flow. Patient Follow-up & Reviews: Check-up Follow-up Calls: Implement and manage a system for following up with patients regarding scheduled check-ups. Patient Reviews: Encourage and monitor patient reviews on various platforms, addressing any concerns and highlighting positive feedback. Social Media Management (Monitoring): Social Media Check: Regularly monitor the clinic's social media presence, ensuring content is updated and engaging. Performance Monitoring: Track the performance of social media campaigns and provide recommendations for improvement. Sanitation & Hygiene: Hygiene Protocols: Enforce and monitor strict adherence to hygiene and sanitation protocols throughout the clinic. Waste Management: Oversee the proper disposal of medical waste, ensuring compliance with all regulations. Cleaning Schedules: Implement and monitor regular cleaning schedules to maintain a clean and sterile environment. Dental Camp Promotion: Camp Organization: Assist in the planning and organization of dental camps in the community. Marketing & Promotion: Develop and implement marketing strategies to promote dental camps and increase participation. Logistics Management: Coordinate logistics for dental camps, including transportation, equipment, and staffing. Qualifications: Bachelor's degree in Business Administration, Healthcare Management, Human Resources, or a related field. Minimum of 3-5 years of experience in operations management, preferably in a healthcare setting. Proven experience in human resources, including employee relations, performance management, and recruitment. Strong organizational, communication, and interpersonal skills. Excellent problem-solving and decision-making abilities. Proficiency in Microsoft Office Suite and dental practice management software. Knowledge of dental terminology and procedures is an asset. Ability to work independently and as part of a team. Must possess a strong sense of responsibility and integrity.
