About the Role:

We are seeking an experienced professional to lead our Administration and Infrastructure Management team. The ideal candidate will be a Key Driver in managing technical services, soft services, travel, transportation, safety, and regulatory compliance. With hands-on experience in HR activities and a proven track record across diverse industries including IT/ITES, Education, E-Publishing, and Media, this role demands a dynamic leader who thrives in multitasking and operational excellence.

Key Responsibilities:

Operational Execution

  • Oversee daily operations across housekeeping, security, electrical, transport, travel, food & beverages, and internal requests.
  • Manage procurement, stock, and vendor coordination for smooth administrative operations.
  • Implement and monitor cost control measures.

Facility Management

  • Lead office renovations and space planning for business expansion.
  • Coordinate with internal stakeholders to align infrastructure with business needs.
  • Maintain parking, workstation allocation, and asset management.

Employee Engagement & Support

  • Organize internal and external employee engagement activities.
  • Manage travel bookings, visa processing, and coordination with HR for interviews, onboarding, and exit processes.
  • Handle delivery and collection of employee assets.

Safety & Compliance

  • Manage e-waste and scrap disposal in compliance with regulations.
  • Oversee BCP, fire safety protocols, and quarterly safety drills.
  • Conduct vendor calibration and monthly review meetings.
  • Act as SPOC for ISMS compliance and audit readiness (ISO & SOC).

Documentation & Reporting

  • Prepare and maintain SOPs, MIS reports, and cost-saving analyses.
  • Track AMC contracts and ensure timely renewals.
  • Generate reports for top management on budgeting, planning, and execution.

Administrative Support

  • Provide high-level support to senior management including research, report preparation, and scheduling.
  • Supervise clerical staff and ensure smooth administrative workflows.
  • Handle service bills, invoice verification, and monthly consumption reports.

Requirements
Qualifications & Skills:
  • Bachelor’s degree in Business Administration, Management, or related field.
  • 10+ years of experience in administration and infrastructure management.
  • Strong leadership and negotiation skills.
  • Proficiency in MS Office, HRMS, and facility management tools.
  • Excellent communication, multitasking, and problem-solving abilities.
  • Experience in handling audits, compliance, and vendor management.
