About Us We are looking for a Front Desk & Administrative Executive to manage reception duties, office administration, and HR support. This role requires a professional, organized, and proactive individual who can ensure smooth daily operations and provide an excellent first impression to visitors and employees. Key Responsibilities Reception & Guest Management Serve as the first point of contact for visitors, clients, and employees, ensuring a welcoming and professional experience. Manage incoming calls, direct them to the appropriate departments, and handle inquiries efficiently. Maintain a clean, organized, and presentable reception area that reflects the companyβs corporate image. Maintain visitor records, issue visitor passes, and ensure adherence to security protocols. Prevent unauthorized individuals from entering the office premises. Coordinate with internal teams for meetings, appointments, and hospitality arrangements. Office Administration & Coordination Act as a liaison between departments to facilitate smooth office operations. Oversee inventory management for office supplies, stationery, and pantry items, ensuring timely procurement. Coordinate with facility management for office maintenance and housekeeping. Ensure timely submission of administrative reports, including expense tracking and vendor payments. Maintain administrative records, office supplies, and asset documentation in an organized manner. Ensure compliance with company policies and regulatory requirements related to office administration. Assist in vendor coordination to ensure quality service. HR & Employee Support Assist the HR team whenever required. Maintain the attendance register. Support HR with employee documentation and onboarding formalities. Monitor adherence to company policies, rules, and regulations, reporting any violations or unethical behaviour. Address employee grievances related to office facilities and escalate them for resolution. Meeting & Calendar Management Manage and schedule meeting rooms, ensuring availability and smooth execution. Coordinate internal and external meetings, including logistics, refreshments, and conference call setups. Courier & Logistics Management Handle incoming and outgoing couriers, ensuring accurate documentation and timely distribution. Support the e-commerce team by packing orders properly and coordinating with courier partners. Maintain physical and digital records of stock movements, including shipment return details. Discipline & Office Decorum Ensure office discipline and decorum are maintained at all times. Monitor adherence to company policies and report any violations. Identify and suggest improvements for workplace efficiency and employee comfort. π Additional duties may be assigned based on business requirements.
