Job Description

Standard Operating Procedure (SOP) for Finance Manager

1. Purpose To define the roles, responsibilities, and standard procedures for the Finance Manager in order to ensure efficient financial planning, reporting, compliance, and control within the organization. --- 2. Scope This SOP applies to all financial activities under the responsibility of the Finance Manager, including but not limited to financial reporting, budgeting, audits, compliance, cash flow management, and coordination with internal and external stakeholders. --- 3. Responsibilities of the Finance Manager Oversee daily financial operations and ensure accuracy of financial records. Develop and monitor budgets, forecasts, and financial performance. Ensure compliance with statutory, regulatory, and internal policies. Approve and monitor payments, receipts, and cash flow. Supervise preparation of monthly, quarterly, and annual financial statements. Liaise with auditors, banks, tax authorities, and regulatory bodies. Implement and monitor internal controls to safeguard company assets. Lead and guide finance team members in line with organizational goals. --- 4. Standard Operating Procedures 4.1 Budgeting and Forecasting Collect departmental budget requirements. Consolidate into organizational budget and present to management. Review and update forecasts quarterly or as required. 4.2 Financial Reporting Prepare monthly financial reports by the 10th of the following month. Submit quarterly and annual financial statements in line with statutory requirements. Provide variance analysis against budget and highlight key issues. 4.3 Accounts Payable and Receivable Verify all invoices and supporting documents prior to payment. Approve vendor payments in line with credit terms. Monitor receivables, follow up on overdue accounts, and report to management. 4.4 Treasury and Cash Flow Management Maintain optimum cash levels for operations. Review daily bank balances and approve fund transfers. Manage relationships with banks and financial institutions. 4.5 Compliance and Audit Ensure timely filing of tax returns (GST, VAT, Corporate Tax, etc.). Ensure adherence to local financial regulations and internal policies. Coordinate with external auditors and ensure timely completion of audits. 4.6 Internal Controls Approve financial transactions above defined thresholds. Ensure segregation of duties within the finance team. Conduct periodic reviews of internal controls and risk management measures. --- 5. Documentation and Record Keeping Maintain proper documentation of all financial transactions. Ensure retention of financial records for at least [X years] as per statutory requirements. Keep all financial data secure and accessible only to authorized personnel. --- 6. Review and Amendments This SOP will be reviewed annually or when significant changes occur in financial regulations, company policy, or organizational structure.
