Job Summary:
The Facility Administration Manager will be responsible for managing the entire administration and infrastructure operations of the manufacturing facility in Sriperumbudur. This includes facility maintenance, security, safety, statutory compliance, administrative functions, vendor management, employee welfare, procurement coordination, and support services to ensure smooth plant operations. The role requires strong leadership, regulatory knowledge, and hands-on experience in industrial facility administration, especially in the Indian manufacturing sector.
Key Responsibilities:
1. Administrative & Office Management
- Supervise day-to-day administrative operations, including office upkeep, record maintenance, and official correspondence.
- Ensure documentation, employee records, and filing systems are updated and audit-ready.
- Enforce internal policies in line with ISO, EMS, and labor laws.
2. Facility & Infrastructure Maintenance
- Oversee maintenance of buildings, electrical and utility systems (power, water, compressed air, HVAC), and sanitation facilities.
- Plan and execute AMC and renovation projects, coordinating with civil and MEP contractors.
- Ensure minimal disruption to plant operations during infrastructure activities.
3. Human Resources & Employee Support
- Support HR in recruitment drives, onboarding processes, attendance monitoring, and exit formalities.
- Administer employee welfare schemes, health and safety initiatives, and grievance handling.
- Organize training programs on safety, behavior, compliance, and team-building.
4. Procurement & Inventory Management
- Ensure availability and timely procurement of housekeeping materials, PPE, office stationery, and admin consumables.
- Maintain facility-related inventory and collaborate with the central procurement team for vendor coordination.
5. Statutory Compliance & Government Liaison
- Ensure compliance with the Factories Act, ESIC, PF, Minimum Wages Act, Pollution Control Board norms, etc.
- Prepare documentation and coordinate for inspections, audits, and renewals (Factory License, Fire NOC, etc.).
- Liaise with statutory bodies and government departments for approvals, permits, and certifications.
6. Security, Health & Safety Management
- Supervise security staff, surveillance systems (CCTV), and access control procedures.
- Implement and monitor safety practices in accordance with OSHA/Indian standards.
- Conduct fire drills, safety audits, mock evacuations, and emergency response plans.
7. Vendor & Contractor Management
- Identify, appoint, and manage third-party vendors for security, housekeeping, pest control, canteen, and maintenance.
- Monitor service levels, negotiate contracts, and ensure adherence to SLAs and cost efficiency.
8. Transport & Canteen Operations
- Oversee transport logistics for employees across shifts ensuring safety and punctuality.
- Manage canteen hygiene, vendor contracts, and compliance with FSSAI norms.
9. Environmental & Sustainability Initiatives
- Contribute to ESG and green manufacturing goals through waste reduction, water/energy conservation, and regulatory compliance under ISO 14001.
Skills & Qualifications Required:
Educational Qualification:
- Graduate in Business Administration, Facility Management, Industrial Engineering, or related field.
- Additional certifications in NEBOSH, OSHA, ISO compliance, or HR/legal regulations are preferred.
Technical and Soft Skills:
- Knowledge of building systems, utilities, and civil/electrical infrastructure in industrial environments.
- Understanding of Indian labor laws, Factory Act, PF, ESIC, statutory compliance, and contract labor management.
- Strong vendor negotiation and cost control skills.
- Basic knowledge of MS Office, SAP/ERP systems, and facility management tools.
- Excellent organizational, leadership, interpersonal, and communication skills.
- Ability to handle emergencies, high-pressure environments, and multi-task operations.
Experience Required:
- 15 Plus years of hands-on experience in factory/facility administration in the Indian manufacturing sector.
- Experience in sectors such as automotive, aerospace, FMCG, pharma, or heavy engineering is highly desirable.
- Previous exposure to unionized environments and multilingual teams is a plus.
