This role is more than traditional administrative support—it requires a proactive, strategic, and operationally inclined individual who can assist in key decision-making, project execution, and overall business management.The ideal candidate will be highly organized, technically sound, and capable of managing multiple priorities in a fast-paced and dynamic environment. They will work closely with the Head of O&M to streamline processes, optimize workflow, and ensure effective execution of key initiatives. Key ResponsibilitiesAdministrative & Strategic SupportServe as the primary point of contact between the Head of O&M and internal/external stakeholders.Manage complex calendars, travel plans, meetings, and communications.Prepare high-quality reports, presentations, minutes, and executive summaries for leadership meetings.Handle confidential information with utmost discretion and professionalism.Operational & Technical AssistanceAssist in operational initiatives across the O&M division, ensuring alignment with business objectives.Support data analysis, dashboards, and reporting related to operational performance.Collaborate with teams to facilitate execution of technical projects and process improvements.Track and summarize industry developments relevant to offshore operations.Project Management & Process OptimizationSupport and track key operational and strategic projects, ensuring timely delivery and accountability.Identify bottlenecks and help implement process enhancements to boost efficiency.Maintain a project dashboard and ensure milestone tracking.Stakeholder Management & CommunicationLiaise effectively with cross-functional teams, external partners, vendors, and contractors.Draft, review, and coordinate communication materials with clarity and alignment.Support communication and implementation of organizational changes and initiatives. Qualifications & SkillsEducation & ExperienceBachelor's or Master’s degree in Business Administration, Engineering, Operations Management, or a related field.4–8 years of relevant experience in executive assistance, operations, project coordination, or technical support.Experience in the oil & gas, offshore, maritime, or energy sectors is strongly preferred.Exposure to project management and high-level stakeholder engagement is advantageous.Technical & Business AcumenStrong analytical and problem-solving skills.Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).Familiarity with offshore O&M operations or engineering processes is a plus.Exposure to business intelligence tools and reporting dashboards is preferred.Soft SkillsHighly organized, detail-oriented, and efficient at multitasking.Excellent written and verbal communication skills.Strong interpersonal skills and ability to manage relationships at all levels.Discretion, integrity, and professionalism in handling sensitive matters.
