Role & responsibilities

About the Role

We are looking for a proactive and dependable Executive Assistant to support day-to-day operations, communication, and coordination across teams and external partners. The ideal candidate should have strong English communication skills, excellent organizational abilities, and a problem-solving mindset. This role requires multitasking, handling multiple reporting lines, email communication, documentation, and coordination with our factory and transport partners.

Key Responsibilities

Communication & Coordination

  • Draft, manage, and respond to emails with proper etiquette and clarity.
  • Coordinate over phone and email with factories, transporters, suppliers, and team members.
  • Maintain clear communication between internal and external stakeholders.

Operational Support

  • Handle multiple reporting tasks and provide structured updates as required.
  • Take instructions from management and execute tasks efficiently and accurately.
  • Assist in planning, scheduling, and daily operational coordination.

Problem Solving & Multitasking

  • Troubleshoot and resolve operational or logistics issues in real time.
  • Improvise and find logical solutions when unexpected challenges arise.
  • Manage multiple tasks simultaneously while maintaining attention to detail.

Documentation & Organization

  • Prepare document formats, templates, and trackers for future use.
  • Maintain organized records, files, and communication logs.
  • Support creation of reports, summaries, and simple presentations when required.

Required Skills & Competencies

  • Strong verbal and written English communication skills
  • Good phone etiquette and professional email writing ability
  • Excellent organizational and multitasking skills
  • Strong problem-solving and initiative-driven attitude
  • Ability to work under instruction as well as independently
  • Proficiency in MS Office / Google Workspace (Docs, Sheets, Email, etc.)
  • Ability to handle coordination, follow-ups, and reporting
