Role Overview:

As Client Relations Specialist, you will be the first point of contact for clients, guiding them through our premium travel solutions. In this role, you’ll work to understand client needs, provide expert advice, and secure bookings that reflect Amaavi’s commitment to luxury and customization. Your focus will be on building long-lasting client relationships, from initial consultation to post-trip follow-ups, ensuring each journey exceeds expectations.


Key Responsibilities


Client Onboarding & Relationship Management

  • Be the primary point of contact for assigned clients throughout their journey with Amaavi.
  • Conduct discovery calls to set expectations, understand preferences, and reassure clients about every detail.
  • Maintain consistent, proactive communication to build trust.


Holiday Design & Itinerary Crafting

  • Create impeccably detailed, thoughtful, and seamless itineraries.
  • Suggest unique experiences, luxury stays, and tailored add-ons.
  • Ensure itineraries align with client goals, pace, and comfort.


Visa Knowledge & Co-ordination

  • Understand the visa requirements of key travel destinations (Schengen, UK, US, UAE, Asia-Pacific, etc.).
  • Guide clients on documentation, processes, timelines, and expectations.
  • Work closely with our visa operations team and make sure there are no service issues.
  • Maintain updated knowledge of global visa rules, changes, and best practices.


Flight Ticketing & Booking Knowledge

  • Understand fare classes, airline rules, cancellation policies, and reissue processes.
  • Coordinate with operations team and ticketing vendors
  • Suggest optimal flight routes, timings, and cost-efficient options.
  • Monitor ticketing issues and ensure smooth travel for the client.


Operations & Delivery

  • Coordinate with internal team members, ground partners and vendors, to ensure all itinerary elements are delivered flawlessly.
  • Track and manage timelines, ensuring no detail is missed from booking to execution.
  • Resolve operational issues quickly and communicate resolutions to clients confidently.
  • Handle unexpected changes calmly and professionally while keeping clients reassured.


Sales & Account Management

  • Take complete ownership of clients that have been allotted to convert repeat bookings.
  • Maintain a pipeline of current and past clients for re-engagement campaigns.


Continuity & Knowledge Management

  • Document all client preferences, trip details, and communications in our tracker for future reference.
  • Ensure seamless handovers within the team if unavailable.
  • Keep updated with destination knowledge and partner capabilities.


Brand Advocacy

  • Represent Amaavi’s promise of personalization, authenticity, and seamless service in all client and vendor interactions.
  • Gather client testimonials and feedback post-travel.


What We’re Looking For

  • 1-3 years of experience in

    luxury travel, hospitality, concierge, or client success

    roles.
  • Excellent communication and presentation skills — both written and verbal.
  • Passion for crafting memorable experiences and building trust with clients.
  • Organized, detail-oriented, and able to juggle multiple itineraries smoothly.
  • Strong sense of ownership — you don’t wait to be told what to do; you take charge.
  • A growth mindset and comfort working in a young, ambitious organization
