Position Overview

The City Operations Manager for the Guwahati hub will be responsible for end-to-end operational excellence, including procurement, vendor management, inventory accuracy, order fulfillment, and team management. This role is critical in establishing and stabilizing the operations of a newly launched hub. The ideal candidate must come from a healthcare, medical, or pharmaceutical background, possess strong analytical and negotiation skills, and ensure seamless coordination between procurement, warehouse, logistics, and support teams.

Our newly opening Guwahati hub is a significant step toward strengthening our presence in the Northeast and delivering faster, safer, and more reliable access to specialty medicines.

Key Responsibilities

1. Reporting & Analytics

  • Generate, analyze, and share operational and procurement reports with the management on a regular basis.
  • Maintain accurate PO vs GRN tracking and highlight delays or discrepancies.
  • Maintain and share daily Under-Process reports to ensure visibility of pending tasks.
  • Provide data-backed insights for decision-making and process improvement.

2. Procurement & Vendor Management

  • Identify, evaluate, and onboard new vendors based on business requirements.
  • Maintain strong relationships with existing vendors and negotiate for better pricing, terms, and faster turnaround times.
  • Collaborate with suppliers to resolve issues related to rates, delivery timelines, and credit notes.
  • Ensure timely procurement of medicines, medical consumables, and associated materials.
  • Coordinate with vendor company representatives for issue resolution and smoother purchase cycles.

3. Operations & Inventory Planning

  • Manage end-to-end purchase planning with emphasis on fast-moving stock availability.
  • Release bulk purchase orders based on demand forecasting and sales trends.
  • Monitor daily inventory availability to ensure sufficient stock to fulfill orders.
  • Coordinate with warehouse teams to maintain inventory accuracy and hygiene.
  • Drive PO to GRN closure processes and ensure proper documentation.

4. Team Leadership & Staff Management

  • Allocate daily tasks and workflow among team members based on workload and resources available.
  • Monitor team performance and ensure all daily operational activities are completed on time.
  • Approve leaves, maintain attendance records, and uphold operational discipline.
  • Conduct regular team meetings to discuss challenges, bottlenecks, and ongoing issues.
  • Provide guidance, training, and problem-solving support for team members.
  • Collaborate with support teams to resolve order-related escalations.

5. Packing Material Management

  • Ensure timely procurement and refilling of packing materials required for order fulfillment.
  • Track and maintain packing material stock levels in coordination with warehouse staff.
  • Liaise with the Chennai team regarding packing material requirements, shortages, and replenishment planning.

6. Order Fulfillment & Logistics Coordination

  • Oversee city-level order processing, dispatches, and collaboration with hyperlocal delivery partners.
  • Ensure smooth coordination between procurement, warehouse, and logistics teams for timely deliveries.
  • Monitor order fulfillment metrics and initiate corrective actions where needed.
  • Maintain compliance with healthcare and pharmaceutical operational standards.

7. Compliance & Process Governance

  • Ensure adherence to pharma regulatory requirements, documentation norms, and internal SOPs.
  • Support periodic audits (internal/external) and ensure immediate resolution of gaps.
  • Maintain proper records for procurement, vendor contracts, invoices, and credit notes.

8. Cross-functional Collaboration

  • Work closely with central operations, finance, technology, and support teams to align city operations with company-wide strategies.
  • Participate in cross-functional meetings to enhance processes, improve system efficiencies, and resolve escalations.
  • Support technology adaptation and ensure the team follows new workflows and tools effectively.

Required Qualifications & Experience

  • Bachelor’s degree in Pharmacy, Life Sciences, Healthcare Management, or related fields.
  • 5–10 years of experience in healthcare, pharma operations, medical supply chain, or procurement.
  • Prior experience in managing city-level or hub-level operations preferred.
  • Strong understanding of medical purchasing, vendor management, and inventory control.
  • Experience in leading teams in a high-volume, fast-paced operational environment.
