We're a remote-first organization with 10 team members, including 8 consultants (one serving as consulting manager) and 2 business partners. Our team primarily operates from Sydney (Australia) with work spanning across Melbourne and Adelaide as well. About the Role

part-time remote Bookkeeper


In this role, you'll set up processes for timesheets, revenue recognition, month-end and year-end reporting while managing billing for our 10 consultants. Your core responsibility is converting consultant time, milestones, and purchase orders into customer invoices, ensuring we collect income and pay consultants accordingly. Most work concentrates in the first two weeks of each month, with lighter duties remaining.


This role is intentionally simple and well-supportedβ€”multiple team members understand these tasks, and we have rate matrices and allocation systems in place. There's comprehensive training available, and you'll gradually take on more customer communication. This position has clear opportunities to expand into full-time scheduling and operations, helping us become more self-sufficient.


Our IDEAL CANDIDATE


Your performance will be measured by invoice accuracy after initial training, timely monthly billing cycles, and effective payment collection. Depending on your performance, this position can grow into a full-time position.


You'll collaborate with all our consultants for timesheet collection and validation, and work closely with our Consulting Manager. This position reports directly to our Senior Bookkeeper from our parent family office.


You’ll be doing things like:

  • Invoice Creation & Processing:

    Create consultant and project invoices in MYOB; enter supplier and consultant invoices; download and format Infor CRM billing spreadsheets; process bank account entries and payments; convert software purchase orders into invoices; generate invoices for retainer and non-retainer clients using rate matrices.
  • Client Communication & Collections:

    Send invoices to customers; respond to billing inquiries and resolve questions; follow up on outstanding payments; maintain billing relationships with 15 core clients; handle payment discrepancies; pay consultants per rate schedules.
  • Financial Reporting & Analysis:

    Produce monthly Profit & Loss and Balance Sheet reports; reconcile consulting hours across all clients and billing models; create journal entries for retainer balances; verify consulting and software revenue recognition; perform account reconciliations.
  • Project Support & Milestone Billing:

    Manage projects through Rosterfy Planner Board; oversee milestone billing for software implementations; process software royalty billing from reseller partnerships; track project progress against billing schedules; assign consultants to projects.
  • Record Keeping & Maintenance:

    Verify all invoices are entered to correct COGS and income accounts in MYOB; enter hours consumed by clients onto retainer tracking sheets; update client rates and billing information; set up and improve timesheet processes; maintain consultant rate matrices.
  • Annual Financial Processes:

    Enter annual budget into MYOB; prepare year-end summary Balance Sheet package; reset retainer hours for new fiscal year; coordinate with external accountants; support annual reporting requirements.


Skills & Qualifications

  • 3-5 years of prior experience in roles like Bookkeeper, Accounting Assistant, Billing Specialist, or Accounts Administrator
  • Proficiency with MYOB accounting software (or Xero, QuickBooks)
  • Timesheet-based billing and consultant time tracking experience
  • Spreadsheet skills for data formatting and analysis
  • Excellent English communication and reading comprehension
  • Asks questions when unclear rather than making assumptions
  • Detail-oriented and able to manage multiple billing cycles


Bonus if you also have:

  • Professional accounting certifications in progress (ACCA, CPA, or local equivalents)
  • Familiar with Australian business systems and terminology
  • Professional services billing background
  • Experience working within a smaller organization (<20 employees)
  • Fun, collaborative personality
