Role Summary

Back Office Assistant

service and operational functions. In this hybrid role, the candidate will not only handle

administrative and backend tasks, but also assist in processing orders, maintaining invoices, and

managing customer communications. The ideal candidate is organized, responsive, and committed

to ensuring efficiency across operations and a seamless customer experience.


Key Responsibilities

• Provide day-to-day administrative and operational support to ensure smooth backend

processes.

• Respond to customer queries and concerns via email, phone, and messaging platforms with

professionalism and empathy.

• Process customer orders, returns, and exchanges promptly and accurately.

• Maintain and organize order records, invoices, and billing documentation.

• Coordinate with logistics partners and internal teams to track shipments and resolve delivery

issues.

• Update and manage customer and order databases, ensuring accuracy at all times.

• Assist in preparing regular reports on order status, inventory, and customer satisfaction

metrics.

• Support data entry, merchandising records, and backend stock tracking as needed.


Required Qualifications & Skills

• 1–2 years of experience in a customer service, administrative, or back-office support role—

preferably in retail, fashion, or e-commerce.

• Strong communication skills, both verbal and written.

• Excellent organizational, record-keeping, and multitasking abilities.

• Familiarity with MS Office tools (Excel, Word, Outlook) and data entry systems.

• Basic understanding of invoicing, billing, and order management processes.

• A keen eye for detail and a proactive, problem-solving mindset.

• Ability to manage time efficiently and collaborate well within a team.

• Diploma or Bachelor's degree in Business Administration, Commerce, or a related field is

preferred.
