Job Overview: We are looking for a Admin Executive to efficiently handle front desk operations and administrative tasks. The ideal candidate should have strong organizational skills, attention to detail, and the ability to manage documentation, reporting, and communication effectively. Key Responsibilities: Front Desk Management: - Greet and assist visitors, clients, and vendors professionally. - Manage incoming calls, emails, and correspondence. - Maintain a log of visitors and appointments. Administrative Support: - Prepare and maintain documents such as Delivery Challans (DCs), Return Delivery Challans (RDCs), Bills, Inwards & Outwards. - Handle data entry and documentation related to shipments, material movement, and reports. - Maintain and update filing systems and records for easy retrieval. - Coordinate with departments for inventory, purchase orders, and dispatch records . Billing & Reporting: - Prepare and process bills in a timely manner. - Maintain invoice and payment records accurately. - Generate daily, weekly, and monthly reports related to admin, inventory, and dispatch activities. - Assist in expense tracking and cost analysis. Logistics & Inventory Management: - Monitor material inwards and outwards and update stock records. - Coordinate with the store and dispatch teams for smooth logistics operations. - Ensure proper documentation of incoming and outgoing shipments . Office Coordination: - Support administrative tasks such as ordering office supplies and managing office maintenance. - Assist in HR-related tasks, including attendance tracking and leave management . - Ensure compliance with company policies and documentation standards. Skills & Qualifications: - Educational Qualification: Any Graduate (Preferably in Commerce or Business Administration). - Experience: Minimum 2-3 years in admin, front desk, or document control roles. - Proficiency in MS Office (Excel, Word, Outlook) and experience working with ERP systems . - Must have knowledge of Google Drive and its applications . - Strong organizational and multitasking skills with attention to detail. - Good communication and interpersonal skills . - Ability to handle confidential information with discretion .
