Department: Operations / Business Development

Job Type: Full-time


Position Overview


The Tender Executive will be responsible for managing the entire tendering process, including identifying relevant tenders, preparing documentation, coordinating with internal departments, and ensuring timely submission. The ideal candidate should have strong documentation skills, attention to detail, and the ability to work under deadlines.


Key Responsibilities

1. Tender Identification & Evaluation


Search and identify government, corporate, and institutional tenders related to STEMbotix products/services.


Evaluate tender eligibility, terms & conditions, technical requirements, and financial feasibility.


Maintain an updated list/dashboard of all active, upcoming, and closed tenders.


2. Tender Documentation & Submission


Prepare technical and financial bid documents as per tender guidelines.


Compile company credentials, certificates, financial statements, and other mandatory documents.


Ensure accuracy, completeness, and compliance of all submitted documents.


Handle online tender portals such as GeM, Government e-Tendering portals, Smart City portals, etc.


Submit tenders within the specified timelines.


3. Internal Coordination


Coordinate with sales, finance, legal, and technical teams to collect required data.


Follow up with management for approvals on pricing and documentation.


Maintain effective communication with vendors/suppliers for quotations when required.


4. Post-Tender Activities


Manage clarifications, corrigenda, and communication released by tender authorities.


Track tender status, results, and prepare comparison/analysis reports.


Assist in contract preparation after tender award.


5. Record Keeping & Reporting


Maintain proper filing of all tender documents (soft & hard copies).


Prepare weekly/monthly tender status reports for management review.


Maintain a database of credentials, certifications, and standard documents for future bids.


Required Qualifications & Skills


Bachelor’s degree in any discipline (Business, Engineering, or Commerce preferred).


1–3 years of experience in tendering, documentation, sales support, or related roles.


Excellent knowledge of government e-tendering platforms (GeM, eProcurement portals).


Strong MS Office skills (Word, Excel, PDF tools).


Good understanding of financial and technical proposal preparation.


Strong communication and coordination ability.


High attention to detail and ability to work under strict deadlines.


Preferred Skills


Experience in the education, robotics, STEM, or technology sector.


Knowledge of pricing strategy and vendor management.


Ability to interpret tender terms, commercial clauses, and compliance requirements.
