About Us: circle tree energy solutions LLP is a leading provider of Residential, Commercial,Utility-Scale solar energy solutions dedicated to efficient and high-quality installations. We are seeking a highly motivated and impeccably organized individual to manage all project documentation, coordinate customer financing, and oversee the critical logistics of material supply for our installation teams.

The Role:

You will be the central coordinator who ensures our projects move smoothly from contract signing to installation. This involves managing administrative compliance (Documentation), securing financial close (Loans), and guaranteeing the right materials are on site, on time (Logistics).

Key Responsibilities:

1. Project Logistics & Material Management (The New Focus):

  • Procurement Support: Assist the procurement team in tracking equipment orders, including solar panels, inverters, racking, batteries, and all balance-of-system (BOS) components.
  • Material Coordination: Coordinate the timely delivery of all materials and equipment to project sites, ensuring all site-specific requirements are met.
  • Inventory Tracking: Maintain accurate records of all materials ordered, received, and consumed, reconciling site inventory with project Bill of Materials (BOMs).
  • Scheduling: Coordinate delivery schedules with the installation teams and logistics partners to optimize project timelines and avoid site delays.
  • Issue Resolution: Proactively manage and resolve any logistics issues, shipping errors, or material damage claims with vendors and suppliers.

2. Solar Loan Coordination & Customer Finance:

  • Primary Finance Liaison: Act as the main point of contact between the Sales team, the customer, and external financial institutions (banks/lenders) for all solar loan and financing applications.
  • Loan Processing: Collect, review, and verify all necessary customer financial documents, ensuring they meet the lender's and company's requirements.
  • Financial Closure: Track the financing pipeline from submission to final funding, working to resolve documentation issues and processing final closing paperwork.

3. Documentation & Administration:

  • Regulatory Compliance: Manage the preparation, submission, and tracking of all required documents for Permits, Utility Interconnection Applications (Net Metering), and local incentives.
  • Document Control: Maintain highly organized master files (digital and physical) for contracts, design plans, warranties, financing agreements, and close-out packages.
  • Data Management: Accurately input project, financial, and logistics data into our CRM system and project management software.

Qualifications and Skills:

  • Experience: 0-3 years of experience in a Project Coordinator, Logistics, or Project Administrator role, ideally within the solar, construction, or a technical/EPC (Engineering, Procurement, Construction) industry.
  • Logistics/Supply Chain Knowledge: Demonstrated experience coordinating material deliveries, managing inventory, and working with vendors and shipping carriers.
  • Finance/Administrative Skills: Proven experience with complex document control and familiarity with loan processing or financial paperwork is strongly preferred.
  • Technical Skills: High proficiency in Microsoft Excel (for tracking BOMs and logistics), Word, and experience with project management software.
  • Core Competencies: Exceptional multitasking abilities, meticulous attention to detail, and a strong problem-solving mindset to tackle scheduling and material challenges.
