Role Overview:

The Operations Associate will support the day-to-day operations of ongoing projects by managing resources, tracking financials, cost efficiency, and coordinating with cross-functional teams. The role involves maintaining operational discipline, assisting in cost tracking and reporting, and ensuring timely completion of billing and contract activities.


Key Responsibilities:

1. Project Operations Support

  • Oversee and support project operations in coordination with the delivery team.
  • Manage and maintain resource allocation and deallocation based on project needs.
  • Ensure smooth coordination between project, finance, and HR teams for operational activities.

2. Planning & Efficiency Improvement

  • Track project progress, timelines, and deliverables to identify improvement areas.
  • Assist in preparing project plans and tracking sheets for proactive planning.

3. Financial Tracking & Reporting

  • Track and maintain project cost reports — including cost projection vs. actuals.
  • Support cost analysis and assist in identifying variances and optimization opportunities.
  • Work closely with the finance department for cost reconciliation and validation.
  • Assist in periodic financial reviews and operational audits.

5. Billing & Contract Management

  • Coordinate with finance and delivery teams to ensure timely billing and invoicing.
  • Track contract renewals and ensure documentation is completed on schedule.

6. Reporting & Stakeholder Coordination

  • Prepare weekly and monthly operational and financial reports for management review.
  • Support forecast and actual reporting of project performance metrics.
  • Participate in cadence meetings with leadership teams and highlight key updates.
  • Escalate operational issues promptly to ensure timely resolution and smooth functioning.

  • Proficiency in Excel, project tracking, and reporting tools.
  • Understanding of project financials and cost management.
  • Excellent communication and stakeholder management abilities.
  • Attention to detail and ability to multitask in a dynamic environment.
  • Proactive and collaborative work approach.

Qualification & Experience:

  • Bachelor’s degree in Business Administration, Operations, Finance, or related field.(MBA preferred)
  • 4–6 years of experience in project operations, MIS, or delivery support roles.
  • Experience in IT services, staffing, or professional services industry preferred.
