Operations Manager – Office of the Managing Director

Job Summary

We are seeking a highly structured, execution-driven Operations Manager to work closely with the Executive Assistant in supporting the MD/Director. Confidentiality, professionalism, and precise communication are crucial as you will handle sensitive information and drive critical operational outcomes.

This role requires strong operational leadership, rapid turnaround (TAT) improvement, cross-department coordination, and disciplined follow-through. You will convert leadership directives into actionable workflows, ensure alignment across teams, and maintain on-ground execution quality, enabling the MD/Director to function with maximum efficiency.


Key Responsibilities

1. Strategic & Operational Execution

  • Translate MD/Director directives into actionable, time-bound operational plans.
  • Drive execution across teams with strict follow-up to reduce TAT and ensure closures.
  • Proactively identify roadblocks, gaps, and resource needs.
  • Monitor progress through dashboards, trackers, and structured workflows.

2. Vendor, Partner & External Liaison

  • Manage vendor relationships jointly with the EA.
  • Conduct site/vendor visits and quality checks.
  • Ensure compliance with agreed timelines and deliverables.

3. Cross-Department Coordination

  • Serve as the communication and alignment bridge between leadership and functional teams.
  • Ensure clarity of deliverables, expectations, and timelines.
  • Conduct regular check-ins and escalate risks where needed.

4. Process Management & Optimization

  • Build, refine, and implement SOPs to streamline operations.
  • Strengthen systems for follow-ups, reporting accuracy, and timely completion.
  • Improve team alignment, documentation flow, and operational discipline.

5. Project & Initiative Oversight

  • Lead execution of key initiatives from the MD’s office.
  • Ensure adherence to timelines, budgets, and quality standards.
  • Provide concise updates and insights to support decision-making.

6. On-Ground Monitoring

  • Visit office locations, events, and vendor sites as required.
  • Verify on-ground execution and resolve issues in real time.

7. Collaboration with Executive Assistant

  • Operate as a two-member support unit for the MD/Director.
  • Align on priorities, action points, and operational requirements daily.
  • Divide responsibilities to enhance efficiency and execution speed.

8. Reports & Analytical Support

  • Prepare dashboards, MIS reports, and productivity trackers.
  • Analyse operational performance and business trends.
  • Support creation of review materials and presentations.
