Job Title: Quality Analyst – Nutraceuticals & Herbal Extracts Industry

Job Summary:

We are seeking a meticulous and proactive Quality Analyst to support our Quality Assurance (QA) functions in the Nutraceuticals and Herbal Extracts industry. This role focuses on maintaining documentation integrity, compliance with regulatory standards, handling customer-specific quality documentation, vendor qualifications, certifications, audits, and ensuring end-to-end quality process adherence. The role will also involve close coordination with the supply chain and procurement teams to ensure quality and compliance in sourcing and dispatch operations.

Key Responsibilities:

1. Documentation & Regulatory Compliance

  • Create, update, and maintain Specifications (Raw Material, In-process, and Finished Products), COAs, MSDS, and Technical Data Sheets.
  • Ensure compliance with applicable standards including FSSAI, AYUSH, USFDA, WHO-GMP, and EFSA guidelines.
  • Prepare and maintain product dossiers and declarations for domestic and international customers.
  • Ensure all documentation complies with GMP and other regulatory frameworks.

2. Vendor Qualification & Product Evaluation

  • Prepare and review Vendor Qualification Forms (VQFs) and ensure proper documentation is collected and verified (Organic, Halal, Kosher, FSSC, etc.).
  • Coordinate with suppliers and procurement team to evaluate vendors from a regulatory and quality standpoint.
  • Maintain updated vendor and raw material compliance databases.

3. Certification Management

  • Assist in handling certification audits and renewals for:
  • Organic (NPOP / NOP)
  • Halal
  • Kosher
  • FSSAI (nutraceuticals licensing), etc
  • Coordinate with certifying bodies and ensure timely submissions of documentation and non-conformance responses.
  • Maintain all records related to third-party certifications and traceability documents.

4. Customer & Regulatory Audit Support

  • Prepare required documentation for customer audits, regulatory inspections, and internal audits.
  • Coordinate responses to customer queries related to product quality, regulatory documentation, and certifications.
  • Participate in internal audit reviews, CAPA handling, and documentation closure.

5. Labelling, Packaging & Traceability

  • Review and approve packaging designs and labels for compliance with applicable regulations.
  • Ensure batch-specific data, expiry, and mandatory declarations are incorporated correctly on labels.
  • Coordinate with production and dispatch teams to ensure packaging meets defined quality standards.

6. Quality System Maintenance

  • Maintain and monitor SOPs, change control records, deviation reports, and non-conformance documentation.
  • Participate in periodic review of quality systems and suggest updates as per latest regulations or audit feedback.
  • Train and orient cross-functional teams on QA protocols, traceability, and documentation requirements.

7. Supply Chain Coordination

  • Support the procurement and supply chain teams by verifying the quality documentation of incoming materials.
  • Ensure batch traceability and dispatch documentation (e.g., COAs, organic transaction certificates) are complete and compliant.
  • Coordinate with stores and logistics to ensure smooth movement of compliant batches for both domestic and export orders.

Key Skills & Competencies:

  • Deep understanding of herbal extract and nutraceutical product documentation and compliance.
  • Familiarity with Indian and global regulatory frameworks (FSSAI, AYUSH, USFDA, EU norms).
  • Strong organizational and documentation skills.
  • Experience handling audits, vendor documents, and certification processes.
  • Proficiency in MS Office, Excel, ERP/QMS software (optional).
  • Excellent communication skills – written and verbal.
  • Eye for detail, data accuracy, and compliance.

Preferred Qualifications:

  • 3+ years in a Quality Assurance or Regulatory role in nutraceuticals, herbal extracts, or pharma industry.
  • Exposure to organic and international certifications is highly preferred.
  • Knowledge of export documentation and regulatory declarations for overseas clients is a plus.
