Job Description

Position Overview The Purchase Manager is responsible for overseeing the procurement of goods, materials, and services required for business operations. The role involves vendor management, cost optimization, inventory coordination, and ensuring the timely availability of materials while maintaining quality standards. Key Responsibilities 1. Procurement & Purchasing Develop and implement procurement strategies to ensure cost-effective purchasing. Identify reliable suppliers and negotiate contracts, pricing, and service terms. Raise and process purchase orders (POs) according to company policies. Track orders and ensure timely delivery of materials and services. 2. Vendor Management Source new vendors and evaluate existing ones based on quality, pricing, delivery, and service. Maintain strong relationships with suppliers and resolve issues or discrepancies. Conduct periodic vendor performance reviews. 3. Inventory & Materials Planning Coordinate with stores, production, and operations teams to determine material requirements. Ensure optimal stock levels to avoid shortages or overstocking. Monitor slow-moving and non-moving inventory to reduce wastage. 4. Cost Control & Budgeting Analyze market trends, pricing fluctuations, and cost-saving opportunities. Prepare cost comparisons, quotations, and purchase budgets. Implement cost-control measures without compromising quality. 5. Compliance & Documentation Ensure all procurement activities comply with company policies and statutory requirements. Maintain accurate records: POs, agreements, delivery notes, invoices, and GRNs. Prepare procurement reports for management review. 6. Cross-Functional Coordination Work closely with departments such as Finance, Production, Quality Control, Warehousing, and Sales. Collaborate on new product launches, material testing, and specification changes. Required Skills & Competencies Strong negotiation and communication skills. Knowledge of procurement processes, supply chain, and inventory management. Vendor sourcing and contract management skills. Analytical mindset with cost-saving orientation. Proficiency in ERP systems, MS Excel, and procurement tools. Problem-solving and decision-making abilities. Education & Experience Bachelor’s degree in Supply Chain, Business Administration, Commerce, or related field. 5–8 years of experience in purchasing/procurement (FMCG, manufacturing, trading, or distribution preferred). Experience in vendor development, sourcing, and cost optimization. Key Performance Indicators (KPIs) Cost savings achieved through strategic buying. Vendor performance and reliability. Inventory availability and stock turnover ratio. On-time delivery rate. Accuracy of procurement documentation.
