Overview:

The Administration / Office Executive is responsible for ensuring the smooth operation of office activities by providing administrative support, managing day-to-day tasks, and maintaining a productive work environment. This role includes organizing meetings, managing correspondence, handling office supplies, and coordinating with vendors and staff to maintain efficient office functioning.

 Sorting, Segregation, and Maintenance of Office Files and System, in consultation with Top Management. (CEO)

 Updating and Handling of ERP Software on a daily basis: Employee details, Customer Details, Enquiry, Item Details with drawing etc, Feasibility report (With the help of Top Management if in doubt), Quotations, Entry of received P.O, Contract review, Order acceptance, Issue of Route Card/Work Order (Auto Generated by ERP after Contract Review) to Production In-charge,

 Raw materials (chemical and rubber) Stores ROL to be maintained with Procurement of Raw Materials against P.O with T&C and Checking Documentation on receipt of Material.

 D.C, Invoice, COC etc, to be updated and informed to concerned parties. Follow Process flow chart provided and get clarified, if anything in doubt, with Top Management -CEO.

 Maintaining of Monthly statutory requirements by reminder and follow-up with Top Management (CEO): Maintaining Muster Roll, other Monthly forms for government, Payment of ESI, PT, Telephone Bills, Electricity bills, BEL association fee BEL License fee etc.

 Checking and replying to e-mails in consultation with the Top Management and departmental Heads concerned, when needed.

 Handle phone calls, emails, and correspondence, directing inquiries to the appropriate department or personnel

 Follow up on Enquiries received, Payments from customers, Reminder to Top Management on Pending Payments towards Purchases made, Incurred expenses, Factory and Machine maintenance expenses etc.

 Updation Of Records relevant to the Department and as per QMS requirements.

 Update tasks in Microsoft Planner on Daily basis with target dates.

 Oversee office equipment and facilities, including maintenance, repair requests, and vendor coordination.

 Implement and enforce office policies and procedures to improve efficiency

 Schedule and organize meetings, conferences, and appointments, and prepare agendas and meeting minutes.

 Assist the HR department with onboarding, staff scheduling, and maintaining attendance records.

 Handle employee records, leave management, and other HR-related tasks.

 Ensure compliance with local and industry-specific regulations, especially related to environmental health and safety (EHS).

 Ensure 100% adherence to lean manufacturing and 5S, driving operational efficiency and workplace improvements.

Skills & Competencies:

Qualifications:

 Graduation / Diploma in business administration.

Experience:

 2 years of experience in administration, purchasing, or procurement.

Language Requirement:

Oral / Communications: English, Kannada, Hindi. (Alt: Tamil, Telegu etc.)

Reading / Writing: English, Kannada (Alt: Hindi etc)

Job Type: Full-time

Pay: ₹216,000.00 - ₹240,000.00 per year
