Job Description: Executive Assistant / Personal Assistant to the Managing Director

Heritage Lighting Poles & Street Furniture

Key Responsibilities:

1. Sales Documentation and Financial Administration:

  • Prepare detailed and competitive 

    Quotations

     for custom casting solutions, standard products, and large infrastructure projects, ensuring accurate costing and technical specifications.
  • Generate 

    Performa Invoices

     and final sales invoices, coordinating with the Finance department for payment processing and reconciliation.
  • Process and manage 

    Production Orders

     (POs) by translating confirmed sales details into clear, actionable requirements for the manufacturing and casting facility.
  • Maintain accurate records of all pricing, discounts, and terms of sale for auditing purposes.

2. Inquiry and Customer Relationship Management (CRM):

  • Manage the entire lifecycle of all sales 

    Enquiries

     received via email, phone, or website, ensuring prompt logging and assignment within the CRM system.
  • Provide regular updates on inquiry status to the sales team and management, focusing on swift conversion and follow-up.
  • Maintain and update customer and project databases (CRM) with current communication logs and opportunity statuses.

3. Management Information System (MIS) and Reporting:

  • Develop, compile, and present weekly/monthly 

    MIS Reports

     on key sales performance indicators (KPIs), including:
  • Inquiry-to-Quotation and Quotation-to-Order Conversion Rates.
  • Sales funnel status and forecasting.
  • Analysis of key product/project performance.
  • Identify and report on discrepancies or bottlenecks in the quotation and order fulfillment process to aid management decision-making.

4. Inter-Departmental Coordination:

  • Liaise directly with the 

    Design and Production

     teams to confirm feasibility, timelines, and material requirements before generating a final quotation.
  • Coordinate with the Logistics and Dispatch teams to ensure timely delivery as per the production order schedule.

Qualifications and Skills:

  • Education:

     Bachelor's degree in Commerce, Business Administration, or a related field.
  • Experience:

     [X] years of experience in sales support, order processing, or backend coordination, ideally within a 

    manufacturing, engineering, or B2B project-based environment

    .
  • Technical Skills:

  • Advanced proficiency in MS Excel

     is mandatory for creating complex MIS reports and pivot tables.
  • Experience with ERP systems (for PO and inventory management) and CRM software.
  • Core Competencies:

     Detail-oriented, organized, strong numerical aptitude, and excellent cross-functional communication skills.
