Position Overview: We are seeking a dynamic and experienced Administration Manager to oversee the day-to-day operations of the hospital's non-clinical departments. The ideal candidate will ensure smooth functioning of all administrative activities including facility management, vendor coordination, housekeeping, security, front office, transport, and compliance with healthcare regulations. The role requires strong leadership, organizational, and communication skills with the ability to manage people and processes effectively in a healthcare environment. Key Responsibilities: 1. Operations Management Supervise all non-clinical operations of the hospital including housekeeping, security, cafeteria, biomedical waste disposal, laundry, and patient transport. Ensure efficient day-to-day operations and maintain service standards in alignment with hospital protocols. Monitor cleanliness, hygiene, and sanitation levels throughout the hospital premises. Coordinate with the clinical and nursing teams to address operational support needs promptly. 2. Facility and Asset Management Oversee maintenance and upkeep of hospital infrastructure including electrical, plumbing, HVAC, and medical equipment. Ensure preventive maintenance schedules are implemented and adhered to. Manage inventory of hospital assets, equipment, and consumables with the support of the store/maintenance team. Vendor and Contract Management Identify, evaluate, and finalize vendors for housekeeping, security, pest control, waste disposal, ambulance, and other services. Draft and manage service agreements and ensure service-level compliance. Monitor vendor performance and ensure timely payments and renewals of contracts. People Management Lead and manage the front office, administrative support staff, and outsourced personnel. Ensure adequate staffing across shifts and departments. Train and motivate administrative staff for optimal performance. Monitor attendance, discipline, and grievance handling of support staff. 5. Budgeting and Cost Control Prepare and monitor administrative budgets. Implement cost-saving measures without compromising quality and safety. Track expenses and maintain records for audits and reporting. 6. Compliance and Safety Ensure adherence to statutory requirements like PCB, Fire, AERB, NABH/NABL, and biomedical waste norms. Coordinate for hospital inspections and audits related to facilities and administration. Implement safety and emergency preparedness protocols (fire drills, evacuation plans, etc.). 7. Communication and Reporting Maintain coordination with medical, nursing, HR, finance, and IT departments for operational needs. Prepare and present periodic MIS reports to the management on facility performance, costs, and incidents. Ensure prompt escalation and resolution of any administrative issues or incidents. Qualifications & Experience: Educational Qualifications: Bachelor’s degree in Hospital Administration / Business Administration / Management. A Master’s in Hospital Administration (MHA) or MBA preferred. Professional Experience: 8–10 years of experience in hospital administration with at least 2–3 years in a managerial role. Skills & Competencies: Strong leadership, organizational, and problem-solving skills. Excellent verbal and written communication. Proficiency in MS Office, Hospital Management Systems (HMS), and ERP tools. Ability to work under pressure and handle emergencies efficiently. Familiarity with healthcare regulatory norms and standards. Preferred Attributes: Experience in a multi-specialty hospital setup.
