Job Summary:

Operations Executive

Key Responsibilities:

Operations & Workflow Management

• Execute and manage day-to-day operations including order processing, vendor coordination, inventory tracking, or logistics (depending on the industry).
• Track key performance indicators (KPIs) and maintain records to support strategic decision-making.
• Assist with the onboarding and training of new operational staff or vendors when needed.
• Oversee and manage daily business operations such as order fulfillment, inventory checks, vendor coordination, or service delivery, depending on the business domain.
• Ensure smooth execution of operational activities across departments like logistics, procurement, finance, and customer support.
• Act as a liaison between internal teams to resolve operational bottlenecks and align execution with organizational goals.
• Ensure compliance with internal standards, policies, and industry regulations during all activities.

Process Improvement & Efficiency

• Continuously review existing processes and identify inefficiencies or areas of improvement using data and team feedback.
• Propose and implement changes in workflows or systems to reduce manual efforts, increase turnaround time, and improve accuracy.
• Support the automation of repetitive or manual tasks using software tools, templates, or new technology solutions.

Reporting & Documentation

• Maintain and update operational reports, including status trackers, performance dashboards, and incident logs.
• Prepare weekly and monthly summaries for leadership to provide visibility into process performance, team output, and issue resolution rates.
• Ensure accurate documentation of processes, SOPs, and operational manuals to facilitate consistency and knowledge transfer.

Cross-Team Communication

• Liaise with departments such as Sales, Customer Support, Finance, and Warehousing to ensure all departments are aligned with operational objectives.
• Help facilitate internal reviews or cross-department standups to identify blockers and maintain workflow transparency

Customer Relations & Support:

• Serve as the primary point of contact for all customer communications via email, phone calls, messaging apps.Respond to customer inquiries in a timely and professional manner, providing accurate information on products, orders, shipping, returns, and company policies.
• Address customer complaints with empathy and problem-solving mindset, ensuring quick and satisfactory resolution to maintain high levels of customer satisfaction.
• Proactively follow up with customers to confirm order satisfaction, resolve pending issues, or encourage repeat business.
• Work closely with internal teams (e.g. sales, logistics, marketing) to relay customer feedback, concerns, and recurring issues.
• Maintain updated shipping records and reports for operational tracking and reconciliation.

Qualifications:

• Bachelor's degree in Operations Management, Business Administration, Supply Chain, or a related field.
• 1–3 years of experience in operations, back-office support, administration, or a similar function.
• Advanced proficiency in Microsoft Excel and general MS Office Suite.
• Strong written and verbal communication skills.
• Excellent organizational and problem-solving skills with a high level of attention to detail.
