General Summary:
The HR Specialist will manage the full spectrum of the Employee Life Cycle (ELCM) with a strong focus on UKG Core HRIS. This role ensures accurate employee data management, seamless HR transactions, and compliance across onboarding, records management, probation tracking, performance reviews, and offboarding. You will collaborate with cross-functional teams to deliver a consistent and engaging employee experience across locations. This role ensures seamless HR operational support, maintains accurate records in the HRIS (e.g., UKG), and supports compliance with local labor laws across multiple jurisdictions. The ELCM Specialist will act as a central point of coordination for employee data, document management, and operational reporting.
Principal Duties/ Responsibilities:
HRIS & Employee Records Management:
- Onboarding Support Coordinate onboarding logistics and ensure smooth joining experience for new hires.
- Enter and maintain accurate employee data in HRMS application (UKG) for all life cycle events events, including new hires, promotions, transfers, compensation changes, marital status updates, department/cost center realignments, and exits.
- Perform quality checks on employee data entries and ensure timely processing of HR transactions. Manage and update information outside UKG as required for local HR needs and compliance.
- Data Integrity & Compliance Safeguard employee data integrity and security in line with data protection regulations; ensure HR records are audit-ready.
- HR Documentation Maintain a structured digital document repository for all employment-related records.
- HR Letters & Certificates – Generate and issue official HR letters, including confirmation, transfer, increment, promotion, address proof, visa letters, and salary certificates.
- Contracts & Agreements – Support HR documentation processes, including employment agreements, addendums, and contract renewals. Tracking probationary & recoveries.
- Prepare and maintain dashboards and reports on onboarding, attrition, headcount, confirmation, and employee movement.
- Support the Rewards & Recognition (R&R) program by tracking nominations, issuing awards, and coordinating communications.
- Provide data-driven insights and reports to HRBPs and leadership for decision-making.
- Analyze exit trends and share key takeaways for employee retention strategies.
- Coordinate performance review cycles: timeline communication, HRIS tracking, and system updates. Track career development milestones and support HRBPs in identifying employee growth opportunities.
- Partner with the broader HR team to ensure consistent, inclusive, and engaging employee experiences.
- Identify process gaps and recommend enhancements to improve efficiency and employee experience. Collaborate with global and regional HR teams to implement best practices and standardized processes.
Qualifications & Skills:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 4- 6 years of experience in HR operations or employee life cycle management.
- Hands-on experience with UKG Core HRIS or similar enterprise HR platforms.
- Excellent attention to detail with strong organizational and documentation skills.
- Proficient in Excel, dashboards, and reporting tools. Knowledge of HR compliance practices and labor laws in India and/or the Philippines.
- Strong interpersonal and communication skills.
