Job Description: HR Executive – HR Operations Department: Human Resources Reporting To: HR Manager / Head – HR & Compliance Category: Facility Management Job Purpose: To support the HR Operations team in maintaining accurate employee records, updating HRMS data, ensuring statutory compliance, and assisting in smooth day-to-day HR administrative activities for all on-roll and outsourced employees deployed across various sites. Key Responsibilities: 1. HR Documentation & Data Management Collect, verify, and maintain employee joining documents (Aadhaar, PAN, bank details, educational proofs, etc.). Feed and update employee master data in the HRMS / payroll software accurately. Maintain physical and digital employee files for all staff (site and HO). Track employee movements — new joiners, exits, transfers, and status changes — and update in HRMS. Prepare and maintain MIS reports (manpower strength, joining vs relieving, etc.). 2. Statutory Compliance (ESI, PF, etc.) Register new employees under ESI and PF portals and maintain updated compliance data. Track and generate UAN, ESI numbers, and ensure linking to employee profiles. Support in monthly challan preparation and verification in coordination with the compliance team. Handle ESI family card applications, PF withdrawals, and employee queries related to benefits. Maintain records for statutory inspections and audits. 3. Attendance & Payroll Coordination Collect attendance data from sites and update in HRMS / Excel trackers. Validate and forward attendance data to payroll team within defined timelines. Coordinate with site operations for attendance discrepancies and absentees. Assist in preparing salary inputs, deductions, and overtime summaries. 4. Employee Support & Communication Serve as the first point of contact for site-level employees regarding HR documentation, salary slips, PF/ESI status, etc. Coordinate for ID card issuance, uniform tracking, and employment confirmation letters. Assist in onboarding and induction documentation for new employees. 5. Record Maintenance & Reporting Maintain all HR-related registers and files as per statutory and company norms. Generate and share monthly MIS reports — new joiners, resignations, compliance status, etc. Support audits, client documentation requests, and management reviews.
