Job Description

  • Responsibilities HR Administration & Documentation Maintain employee files and HR documentation in PeopleDoc
  • Process badge requests and coordinate office access details
  • Support exit processing, including uploading exit notes to Culture Amp
  • Draft and issue promotion letters
  • Create and maintain Employee Relations (ER) folders and pod-specific private site records
  • Reporting & Tracking Generate and distribute anniversary and birthday reports
  • Prepare ad hoc reports and provide Reach system data as requested
  • Maintain pod-specific tracking files (new hires, exits, ER logs, leave grids, headcount, etc)
  • Support quarterly OOTO audits, identifying misbilled/negative time entries, and liaising with Finance to process corrections
  • Provide monthly headcount reporting and other agency-specific reports as required
  • Onboarding & Employee Experience Coordinate and support personalized onboarding activities for assigned pods
  • Schedule and facilitate agency-specific employee touchpoints (new hire meet & greets, stay interviews, exit meetings)
  • Draft and distribute new hire announcements (HS-specific, via Canva)
  • Monitor and follow up on incomplete tasks in Culture Amp (e

  • Meeting & Event Support Take detailed notes during HRBP meetings (biweekly and monthly)

  • Systems & Query Support Provide first-level troubleshooting for HR systems (ADP, Reach) and escalate as needed
  • Respond to employee benefits queries before routing to the Benefits team or bSwift
  • Act as payroll liaison for the pod
  • Pull and organize Culture Amp reviews and ratings as required
  • Agency-Specific Support Support leadership teams with weekly and monthly reporting tailored to each agency (WT, HS, etc

  • Coordinate stay interviews, exits, and new hire touchpoints for specific pods
  • Qualifications Bachelor s degree in Human Resources, Business Administration, or related field
  • 3+ years of HR coordination/administration experience (preferably in a shared services or offshore environment)
  • Strong organizational skills with excellent attention to detail and accuracy
  • Proficiency in HRIS platforms (ADP, Reach, Culture Amp, PeopleDoc, or similar)
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Client-ready communication skills, both written and verbal
  • Proficiency with MS Office Suite (Excel, Word, PowerPoint) and tools such as Canva (preferred)
