About The Role
As a Strategy & Ops Associate, you’ll act as the analytical and operational backbone of the Founder’s Office. Your role is to bring clarity to noise, track execution, and provide data-backed insights that help founders and department heads make better decisions.You’ll be responsible for structuring projects, building reports, managing follow-ups, and ensuring that strategy translates into execution. From process audits and cross-functional coordination to KPI dashboards and special founder-led projects, you’ll play a critical role in making Optimite more efficient and scalable.

What will you do?
Data & Reporting (35%)
- Build dashboards and reports on performance across Sales, Ops, HR, and Marketing.
- Track key KPIs weekly and escalate risks early.
- Conduct QA checks on reports to ensure accuracy and reliability.
- Suggest insights and optimizations based on trends.
Metrics You’ll Own:
- Dashboard Accuracy: ≥ 95% error-free reports.
- Timely Reporting: 100% reports shared by agreed deadlines.
- Actionable Insights: ≥ 2 insights/month influencing decisions.
Ops Support & Follow-ups (30%)
- Track project timelines in ClickUp and ensure no task slips.
- Follow up with department heads on pending deliverables.
- Ensure SOPs, workflows, and knowledge bases are up-to-date.
- Support in onboarding and training documentation.
Metrics You’ll Own:
- Task Closure Rate: ≥ 95% follow-up adherence.
- SOP Updates: ≥ 2/month.
- Onboarding Documentation Timeliness: 100% before Day 1 of new hires.
Cross-Functional Projects (25%)
- Coordinate between teams for founder-led projects.
- Drive alignment and ensure deliverables are completed without bottlenecks.
- Facilitate async updates and knowledge sharing across departments.
- Track and report progress to Founder’s Office weekly.
Metrics You’ll Own:
- Project Completion: ≥ 90% projects delivered on time.
- Cross-Team Alignment: Zero duplicated or contradictory tasks.
- Founders’ Review Prep: 100% reports ready for monthly reviews.
Strategic Support (10%)
- Conduct research on competitors, market trends, and industry benchmarks.
- Support founders in decision-making with structured frameworks.
- Assist in ad hoc initiatives like pitch decks, case studies, or investor research.
Metrics You’ll Own:
- Research Output: ≥ 1 structured research/month.
- Founders’ Queries: ≤ 48 hrs turnaround.
- Strategic Inputs: ≥ 1 framework/quarter adopted.
Reporting Cadence
- Daily → ClickUp task tracking & project updates.
- Weekly → 1:1 sync with Chief of Staff/Founders on progress.
- Monthly → Department KPI roll-up + insight reporting.
- Quarterly → Strategic project reviews & retrospectives.
Must Have
- 1–3 years of experience in operations, strategy, consulting, or analytics.
- Strong data and reporting skills (Excel/Sheets, Looker Studio, or Power BI).
- Experience with project management tools (ClickUp/Asana/Jira).
- Excellent written and verbal communication.
- High ownership mindset with the ability to follow through independently.
Good to Have
- Exposure to Founder’s Office or startup environments.
- Familiarity with email marketing, eCommerce, or agency business models.
- Basic SQL or automation knowledge (Zapier, Make, n8n).
- Comfort with documentation tools like Notion, Confluence, or Loom.
