About the Role

We are looking for a sharp, detail-oriented Finance & Operations Executive to manage day-to-day financial processes and operational coordination for our influencer marketing agency. This role is critical for ensuring smooth campaign operations, accurate financial tracking, efficient travel arrangements, and seamless client hospitality.

Key Responsibilities

1. Finance & Accounting Operations

• Manage daily finance operations including invoicing, billing, vendor management, and payouts.
• Track influencer payments, follow up on pending invoices, and maintain clean reconciliations.
• Work closely with the internal team to tally campaign spends vs. budgets.
• Assist in monthly closing, financial reporting, and cash flow monitoring.
• Coordinate with CA for GST filings, TDS, and statutory compliance.
• Maintain accurate documentation of contracts, agreements, POs, and payment proofs.

2. Operational Support for Campaigns & Internal Teams

• Handle influencer onboarding documentation—contracts, NDAs, banking details, and payment compliance.
• Coordinate with the campaign team for tracking expenses, approvals, payouts, and deliverables.
• Support the BD team with operational docs like proposals, MOMs, decks, and vendor coordination.
• Maintain CRM data, trackers, and cross-department ops dashboards.

3. Travel Management (Flights, Hotels, Ground Transport)

• Manage corporate flight bookings for team and influencers when required.
• Identify best routes, rates, and schedules while adhering to company budget guidelines.
• Handle hotel reservations, room blocks, and stay management for shoots, events, and client meetings.
• Arrange local transport — cabs, airport pickups, and on-ground logistics.

4. Venue Coordination & Event Support

• Shortlist and finalize venues for shoots, influencer events, client meetings, and internal team offsites.
• Coordinate with vendors for permissions, payments, catering, and equipment needs.
• Ensure end-to-end operational readiness of each event or venue setup.

5. Client Hosting & Hospitality

• Arrange client visits including itinerary creation, travel support, reservations, and on-site coordination.
• Ensure smooth hospitality arrangements—dining, meeting rooms, refreshments, etc.
• Work as a point of contact for high-value client experience management.

Skills & Requirements

• Bachelor’s degree in Commerce, Finance, Business Administration, or related field.
• 2–5 years experience in finance operations, preferably in advertising/media/influencer marketing.
• Strong understanding of invoicing, reconciliation, accounting basics, and vendor management.
• Excellent negotiation skills for hotel, flight, and vendor bookings.
• Strong command over Excel/Google Sheets, CRMs, and finance tools.
• Exceptional coordination & communication abilities.
• High sense of ownership, responsibility, and confidentiality.
• Ability to multitask across finance, operations, travel, and event-related tasks.
