Role Summary:

We are seeking a highly experienced and resourceful Executive Assistant to provide comprehensive administrative, operational, and strategic support to the Director. The ideal candidate will be proactive, highly organized, and capable of managing both office and personal responsibilities with discretion and efficiency. This role is key to optimizing the Director’s time and ensuring smooth coordination across the organization.


Key Responsibilities:

  • Calendar & Schedule Management
  • Manage and prioritize the Director’s calendar, appointments, travel, and meetings, ensuring optimal time utilization and zero conflicts.
  • Follow-Ups & Task Tracking
  • Maintain a system for reminders and follow-ups with internal teams and external stakeholders; ensure timely updates and closures.
  • Gatekeeping & Prioritization
  • Act as the first point of contact, assessing which issues need to be escalated and resolving minor concerns independently to avoid unnecessary burden on the Director.
  • Meetings & Coordination
  • Prepare agendas, coordinate logistics, take minutes, and ensure follow-through on action items.
  • Problem Solving & Support
  • Address day-to-day queries and concerns from employees or vendors seeking the Director’s assistance; provide practical solutions wherever possible.
  • Personal & Office Administration
  • Handle confidential and personal matters for the Director with trust and discretion, including errands, family coordination, and household management tasks if needed.
  • Communication Management
  • Draft, filter, and manage email and verbal communications on behalf of the Director where appropriate.
  • Operational Oversight
  • Assist in streamlining administrative processes and office management tasks across departments.


Required Skills & Experience:

  • 2 - 5 years of experience as an Executive Assistant or in a similar high-responsibility administrative role.
  • Excellent verbal and written communication in English and Hindi.
  • Proven ability to manage sensitive and confidential information.
  • Strong problem-solving skills, with a proactive and solutions-oriented approach.
  • Exceptional time management and multitasking abilities.
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and scheduling tools.
  • High level of discretion, integrity, and professionalism.
  • Ability to work independently and remain calm under pressure.
