Job Summary:

Executive Assistant

Key Responsibilities

  1. Manage and prioritize the CEOs calendar, appointments, and meetings.
  2. Resolve scheduling conflicts efficiently, ensuring alignment with business priorities.
  3. Prepare meeting agendas, presentations, and relevant materials.
  4. Serve as the primary point of contact between the CEO and stakeholders.
  5. Screen, prioritize, and respond to emails, calls, and messages.
  6. Draft professional correspondence, reports, and presentations.
  7. Organize and prepare materials for executive and board meetings.
  8. Take detailed minutes, track action items, and ensure timely completion.
  9. Facilitate clear communication of meeting objectives and outcomes.
  10. Plan and manage domestic and international travel, including flights, accommodations, and itineraries.
  11. Process expenses and ensure compliance with company policies.
  12. Conduct research and analysis to support decision-making and strategic initiatives.
  13. Assist in creating proposals and reports.
  14. Manage specific projects from initiation to completion, collaborating with internal and external stakeholders.
  15. Draft outreach emails and support business development activities.
  16. Ensure confidentiality and professionalism in handling sensitive information.
  17. Assist in setting and tracking Objectives and Key Results.
  18. Prepare and present performance reports aligned with strategic goals.

Qualifications

  1. Experience: 1-3

    years in a similar role assisting senior management.
  2. Education:

    Bachelors degree in Business, Management, or a related field.
  3. Strong organizational, time management, and multitasking abilities.
  4. Exceptional interpersonal and communication skills.
  5. Proficiency in tools like MS Office and CRM systems.
  6. Ability to work independently with discretion and professionalism.
  7. Experience with cross-cultural communication.
