What You'll Do
- Event Planning & Execution
Assist in the design and delivery of event plans, including timelines, logistics, venue sourcing, and vendor negotiations and coordination. Independently manage select events from planning to execution, under the direction of the Event Manager. Coordinate registration processes, submission platforms, delegate communications, program updates, and payment follow-ups. Prepare and maintain detailed event project plans and ensure deadlines are met. Support attendees by addressing onsite inquiries and needs.
- On-Site Execution & Vendor Liaison
Oversee logistics such as room setups, catering, AV, signage, materials, and exhibitor support. Build working relationships with hotels, vendors, and local partners; serve as their primary point of contact. Ensure SEG branding and service standards are upheld during all events. Serve as the SEG lead on-site during events in Middle East or Asia Pacific. Provide hands-on support to speakers, sponsors, and attendees during the event.
- Committee & Stakeholder Management
Work closely with regional technical and organizing committees to support the development and delivery of technical content. Schedule and manage planning calls, track committee deliverables, and ensure alignment with SEG deadlines. Build strong working relationships with academic, government, and industry volunteers involved in the events. Act as a key liaison between SEG’s regional committees to ensure clear, consistent communication.
- Sponsorship & Volunteer Coordination
Assist in identifying and engaging potential sponsors and exhibitors through targeted outreach and proposal developments and follow ups. Support the preparation and distribution of sponsorship packages and ensure timely responses to sponsor inquiries. Coordinate the sponsorship confirmation process, including agreement execution, benefit tracking, and deliverables. Follow up on sponsor payments to ensure timely invoicing and collection in coordination with the finance or admin team. Maintain accurate records of sponsorship commitments, contacts, and communications. Coordinate volunteer recruitment and assignments in collaboration with local institutions, universities, and committee members.
- Budget Monitoring & Reporting
Maintain accurate tracking of event budgets and expenses. Assist in preparing post-event reports, including attendance data, committee feedback, and financial summaries.
What We’re Looking For
- 5–7 years of experience in event or conference planning, preferably with technical or academic events.
- Bachelor’s degree in Event Management, Hospitality, Business, or a related field.
- Experience working with volunteer committees or professional societies preferred.
Skills And Competencies
- Proven ability to manage multiple stakeholders and deadlines.
- Excellent organizational ability along with strong communication and relationship-building skills.
- Ability to work independently, take initiative, and manage shifting priorities.
- Culturally sensitive and adaptable, with experience working in multinational environments.
- Proficient – Intermediate to Advanced level in Microsoft Office Suite (Excel, Word, PowerPoint); familiarity with CRM/event tools is a plus.
- Willingness to travel within the region and work extended hours during events.
Physical Demands and Working Conditions
- This position primarily involves remote work from a quiet, climate-controlled indoor setting and requires regular use of a computer, phone, and standard office equipment.
- Must be able to sit and work at a computer for extended periods (up to 6–8 hours/day), and occasionally lift and carry materials up to 10 lbs.
- Availability for extended or irregular hours is expected during event execution periods, including weekends and evenings.
- Must be willing and able to travel frequently for domestic and international events, including overnight and extended stays.
- Must be able to navigate large venues, exhibit areas, and hotel facilities during events, including extended periods of standing or walking.
