Role Overview:As the Event Coordinator at BeastDrive, you’ll be responsible for orchestrating all aspects of event planning and execution, from ideation to post-event analysis. You will work with various teams to ensure every event aligns with BeastDrive’s brand and mission while engaging and thrilling our community. Your ability to juggle multiple projects, stay organized, and think creatively will be key to your success in this role. Key Responsibilities:Event Planning & Execution: Plan and execute both virtual and in-person events that align with BeastDrive’s mission and audience. Coordinate with internal teams (marketing, creative, sales, etc.) to develop event concepts and ensure alignment with brand vision. Handle all event logistics, including venue selection, catering, entertainment, guest list management, and travel coordination. Develop and maintain detailed event timelines and project plans. Vendor & Stakeholder Management: Manage relationships with external vendors, sponsors, and service providers, ensuring timely delivery of event services. Negotiate contracts and ensure event materials are provided as per agreed terms. Coordinate with internal stakeholders to align event goals with organizational objectives. Budgeting & Financial Oversight: Develop and manage event budgets, ensuring all costs are tracked and the event stays within budget. Process payments for vendors and manage invoicing. Work with the finance team to ensure all financial aspects of the event are in order. Event Promotion & Marketing: Work closely with the marketing team to promote events across various platforms, including social media, email, and BeastDrive’s website. Assist in creating promotional materials, including flyers, banners, and video content. Track event registrations, RSVP lists, and guest communications to ensure a smooth experience for attendees. Event Operations & On-Site Management: Manage on-site event operations, overseeing setup, guest arrival, and event flow to ensure everything runs smoothly. Supervise temporary staff, volunteers, and event-day teams. Troubleshoot and resolve any issues during the event to ensure a positive experience for attendees. Post-Event Analysis & Reporting: Gather attendee feedback through surveys and other means to evaluate event success. Analyze event data, track key metrics, and provide post-event reports to stakeholders. Provide recommendations for future events based on feedback and data insights. Qualifications:1-3 years of experience as an event coordinator or in a similar role. Exceptional organizational skills with the ability to juggle multiple events and tasks. Creative problem solver with the ability to think outside the box. Excellent communication skills, both written and verbal. Proficient in event management software (e.g., Eventbrite, Cvent) and Microsoft Office Suite. Ability to work independently and take initiative in a fast-paced environment. Nice-to-Have:Experience in organizing virtual or hybrid events. A background in social media marketing or digital content creation. Knowledge of the gaming, tech, or lifestyle industries (or any relevant to BeastDrive’s audience). Experience managing budgets and vendor relationships.
