About The Opportunity

This role offers a unique opportunity to lead and enhance administrative operations in a dynamic academic environment. As Administration Incharge, you will be responsible for driving operational excellence, ensuring workplace efficiency, and aligning administrative functions with institutional goals at AIMS Institutes.

Key Responsibilities

  • Oversee and manage all day-to-day administrative and facility management functions across the campus.
  • Lead operations related to MEP (Mechanical, Electrical, Plumbing), civil maintenance, safety, student discipline, and campus infrastructure.
  • Ensure timely maintenance and upkeep of buildings, classrooms, labs, and support areas.
  • Manage documentation, scheduling, circulars, and internal communications to support institutional processes.
  • Supervise vendor operations including procurement, contracts, AMC management, and inventory control.
  • Liaise with cross-functional departments to ensure smooth, policy-compliant operations and effective service delivery.
  • Monitor and implement process improvements, and track operational KPIs to drive productivity and efficiency.
  • Ensure compliance with institutional safety norms, hygiene standards, and emergency preparedness protocols.
  • Maintain a professional, safe, and organized working environment for faculty, staff, students, and visitors.
  • Coordinate administrative support for events, audits, inspections, and government liaison work as needed.

Must-Have

Skills & Qualifications:

  • Minimum 8-15 years of experience in Facilities and Administration, preferably in an educational institution.
  • Strong managerial experience in handling:
    • Civil and MEP maintenance
    • Campus safety and security
    • Student conduct and discipline
    • Vendor supervision and resource optimization
  • Proficiency in MS Office and standard administrative tools; familiarity with ERP systems and automation tools is an advantage.
  • Excellent verbal and written communication skills.
  • Strong problem-solving, time management, and multitasking abilities.
  • High level of attention to detail and process orientation.
