Accountant (Import & Export)**
Department:** Finance & Accounts / International Trade Operations
Job Summary
Accountant (Import & Export) is responsible for managing and maintaining the organization’s financial records, ensuring accuracy in data entry, compliance with accounting standards, and timely reporting. The role includes the preparation of financial statements, reconciliation of accounts, managing payables and receivables, and assisting with audits and taxation matters. He is responsible for managing all financial transactions related to import and export operations, including purchase accounting, foreign exchange transactions, customs documentation, shipment costing, and compliance with government and banking regulations. The role ensures accurate reporting and smooth coordination between suppliers, logistics, customs, and internal departments.
Key Responsibilities
1. Accounting & Financial Management
- Maintain accurate books of accounts for import and export, and ensure proper documentation of all financial transactions.
- Prepare journal entries, ledger postings, and trial balance.
- Record invoices, purchase orders, freight, customs duties, insurance, and other landing costs.
- Prepare shipment costing and profit analysis reports.
- Reconcile supplier & Customer accounts, bank statements, and foreign currency transactions.
- Monitor outstanding payments to overseas vendors and ensure timely settlements.
2. Import Operations
- Verify import documentation such as Bill of Entry, Airway Bill, Packing List, and Commercial Invoice.
- Coordinate with CHA (Customs House Agent) for duty payment and clearance.
- Maintain proper accounting for LC (Letter of Credit), and advance remittances.
- Track CIF, FOB, and other trade terms in line with Incoterms.
3. Export Operations
- Prepare and review export documents, invoices, and shipping bills, etc.
- Ensure compliance with DGFT, customs, Bank, and RBI guidelines.
- Manage bank documentation for export collections, LC negotiations, and realization of export proceeds.
- Coordinate with logistics for shipment dispatch and payment follow-up from overseas clients.
4. Taxation & Compliance
- Handle GST for import and export transactions, including Input Tax Credit (ITC) claims.
- File statutory returns and maintain records for audit and regulatory inspections.
- Support external and internal audits related to import-export accounts.
5. Accounts Payable & Receivable
- Record supplier bills and process vendor payments on time.
- Prepare and issue customer invoices and track collections.
- Monitor aging reports for both receivables and payables.
- Handle petty cash and employee reimbursements.
6. Accounts Payable & Receivable
- Ensure timely filing of GST, TDS, and income tax returns.
- Maintain statutory records and support compliance with regulatory authorities.
- Coordinate with auditors (CA & CS) for statutory and internal audits.
7. Budgeting & Reporting
- Assist in preparing budgets, forecasts, and financial plans.
- Generate MIS reports for management decision-making.
- Identify cost-saving opportunities and assist in financial analysis.
8. Payroll & Banking
- Prepare payroll statements and process salary disbursements.
- Maintain employee records for statutory deductions (PF, ESI, TDS) if applicable.
- Manage bank transactions, reconciliations, and fund transfers.
9. Reporting & Analysis
- Generate periodic MIS reports on import/export cost, margins, and foreign currency exposure.
- Provide management with data for budgeting, forecasting, and decision-making.
Qualifications & Skills
- Bachelor’s or Master’s degree in Accounting, Commerce, or Finance (B.Com / M.Com preferred).
- 2–5 years of experience in import/export accounting or international trade finance.
- Strong knowledge of customs procedures, Incoterms, and foreign exchange transactions.
- Proficient in Tally ERP / Word/ Excel and banking documentation.
- Sound understanding of accounting standards, GST, and TDS regulations.
- Good communication and organizational abilities to meet deadlines.
- Excellent attention, coordination, and analytical skills.
Work Environment
Office-based role with coordination across finance, logistics, and operations teams. Occasional interaction with banks, customs agents, and overseas suppliers/customers.
