The Tender Executive will play a key role in ensuring timely participation in tenders, accurate documentation, and coordination with multiple departments to deliver competitive and compliant proposals.
Regularly monitor government tender portals (GeM, CPPP, eProcurement, etc.) and private tender websites for relevant opportunities.
Maintain an updated tender tracker to record upcoming, ongoing, and submitted tenders.
Evaluate tenders based on eligibility criteria, scope of work, and profitability.
Read and analyze tender documents to understand client requirements, technical specifications, and submission instructions.
Coordinate with technical, sales, finance, and legal teams to collect required documents and data.
Prepare pre-qualification documents, technical proposals, and financial bids as per tender requirements.
Ensure all submissions comply with terms, conditions, and deadlines.
Draft and compile complete tender documentation, including cover letters, forms, certifications, and annexures.
Upload or submit tenders on government or private portals within specified timelines.
Conduct internal reviews before submission to ensure accuracy and completeness.
Manage revisions, addendums, or corrigenda issued by tendering authorities.
Communicate with clients, consultants, and government departments for any clarifications or meetings related to tenders.
Attend pre-bid meetings and support senior management with presentation materials when required.
Follow up on submitted tenders and maintain regular communication with stakeholders for status updates.
Maintain proper documentation of all tenders, including submitted proposals, correspondences, and results.
Prepare regular reports on tender participation, outcomes, and win/loss analysis.
Suggest improvements in bidding strategies based on past performance and competitor analysis.
In-depth understanding of government e-procurement systems and online tender portals.
Excellent knowledge of tendering process, bid documentation, and compliance requirements.
Strong communication, coordination, and interpersonal skills.
Good analytical and problem-solving abilities.
Proficiency in MS Office (Word, Excel, PowerPoint) and PDF editing tools.
Attention to detail, accuracy, and time management.
Knowledge of solar energy sector, EPC tenders, or electrical industry will be an added advantage.
Bachelor’s degree in Business Administration, Commerce, Engineering, or equivalent.
MBA or Diploma in Business / Project / Supply Chain Management preferred.
