Job Title: Secretary to CEO

Industry: Clinical Research Organization (CRO)
Location: Hyderabad

Role Overview

We are seeking a polished, globally experienced professional to provide high-level executive, administrative, and strategic support to the CEO. This role is ideal for candidates with strong communication abilities, maturity, confidentiality, and capability to manage milestone tracking, strategic operations, and executive coordination with precision.
Candidates with international exposure or higher studies abroad are especially encouraged to apply.

Key Responsibilities1. Executive Assistance & Coordination

  • Manage the CEO’s calendar, appointments, schedules, and overall workflow.
  • Organize domestic and international travel itineraries and logistics.
  • Coordinate internal and external audits, assist in regulatory processes, accreditations, and licensing requirements.
  • Organize and coordinate internal/external meetings and ensure proper follow-up on tasks.

2. Communication & Correspondence

  • Draft, proofread, and manage confidential documents, reports, and communication on behalf of the CEO.
  • Handle and manage the CEO’s emails, calls, and high-level correspondence.
  • Serve as the primary liaison between the CEO and senior leadership, clients, stakeholders, and external partners.

3. Strategic & Administrative Support

  • Support the CEO in milestone management, tracking key business priorities, and strategic planning.
  • Update and maintain dashboard systems, KPI monitoring tools, and performance review trackers.
  • Conduct research and compile data for strategic presentations, reports, and board-level documentation.
  • Assist the CEO in internal training programs, including scheduling, coordination, logistics, and transportation arrangements.

4. Meeting Management

  • Organize high-level meetings with leadership, clients, and partners.
  • Prepare agendas, compile meeting materials, document minutes, and ensure timely follow-up on action points.
  • Maintain organized, accurate, and confidential meeting records.

5. Liaison & Representation

  • Professionally represent the CEO in communications across departments and external entities.
  • Build and manage trusted relationships with board members, government bodies, clients, and business associates.
  • Ensure effective communication flow between the CEO’s office and the organization.

6. Automated Verticals & Operational Support

  • Manage and oversee the functionality of automated verticals under the CEO’s supervision
  • Ensure smooth operations, stability, and reporting for these verticals.
  • Support all assignments and tasks delegated by competent authority.

7. General Administrative Support

  • Provide seamless administrative, operational, and coordination support to the CEO.
  • Prioritize and execute time-sensitive tasks with accuracy and professionalism.
  • Handle confidential and sensitive matters with integrity.

Confidentiality & Compliance

The role mandates strict confidentiality of all company information, documentation, communication, and internal operations.
Compliance with organizational SOPs, regulatory guidelines, ethical standards, and company policies is mandatory.

Candidate Profile Gender Preference: Female / Male Education (Updated):

  • Pharm D or B. Pharm, MBA (mandatory)
  • Must have excellent communication and interpersonal skills.
  • Postgraduate / Master’s degree holders preferred.
  • Candidates with international education (UK, USA, Australia, Canada, Singapore, etc.) are strongly encouraged to apply.

Experience:

  • Minimum 1+ year as an Executive Assistant, Secretary, or Administrative Coordinator.
  • Experience in a global, multinational, or corporate environment is an advantage.

Preferred Background:

  • NRI returnees or candidates with international exposure.

Skills & Attributes

  • Outstanding English communication skills—written and verbal.
  • Strong interpersonal skills and a polished, professional personality.
  • Excellent organizational skills with the ability to multitask effectively.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and tracking tools.
  • Strong analytical mindset with experience in milestone and KPI management.
  • High emotional intelligence, discretion, and integrity.
  • Ability to thrive in fast-paced leadership environments.

Additional Requirements

Job Type: Full-time

Pay: ₹17,000.00 - ₹22,000.00 per month
