Job Description

The Purchase Executive is responsible for sourcing, procuring, and managing suppliers to ensure timely availability of quality materials and services at optimal cost. The role involves purchase order management, inventory coordination, supplier relationship management, and compliance with company policies.

Key Responsibilities

  • Sourcing & Procurement
  • Identify, evaluate, and onboard suppliers and vendors for products and services.
  • Compare suppliers based on cost, quality, reliability, and delivery timelines.
  • Negotiate pricing, contracts, and commercial terms to achieve cost efficiency.
  • Purchase Order Management
  • Create and process purchase orders with accurate specifications, quantities, and delivery schedules.
  • Track order status and follow up with suppliers to ensure on-time delivery.
  • Resolve discrepancies related to purchase orders, invoices, and deliveries.
  • Inventory Management
  • Maintain optimal inventory levels to support operational requirements.
  • Coordinate with warehouse and logistics teams for stock replenishment and distribution.
  • Monitor consumption trends to prevent shortages or excess inventory.
  • Supplier Relationship Management
  • Build and maintain strong, long-term relationships with suppliers.
  • Address supplier-related issues proactively to ensure uninterrupted supply.
  • Evaluate supplier performance periodically.
  • Compliance & Documentation
  • Ensure adherence to company procurement policies and regulatory requirements.
  • Maintain accurate procurement records, pricing details, contracts, and vendor data.
  • Support audits through proper documentation and reporting.

Skills & Qualifications

  • Proven experience in Purchase / Procurement or a similar role (preferred industry as applicable).
  • Strong understanding of procurement processes, vendor management, and inventory control.
  • Excellent negotiation, communication, and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency in MS Office (Excel, Word) and ERP systems.
  • High attention to detail and ability to manage multiple priorities.
