Job Description

Position Overview: We are seeking a dynamic, highly organized, proactive, and resourceful Personal Assistant (PA) to support the Founder & CEO in managing daily operations, client coordination, project support, strategic priorities, and personal commitments. The ideal candidate will act as the right hand to the CEO, ensuring smooth coordination between professional and personal spheres while maintaining confidentiality, efficiency, and attention to detail. Key Responsibilities: Executive & Administrative Support Manage and maintain the CEO’s calendar, appointments, meetings, and travel itineraries. Organize meetings, presentations, and site visits with clients, vendors, and design teams. Prioritize and respond to emails, calls, and correspondence on behalf of the CEO. Prepare and organize meeting agendas, briefs, presentations, and reports. Take minutes of meetings and follow up on action points with internal and external stakeholders. Support in strategic planning, project tracking, and business operations. Prepare project briefs, design proposals, client correspondence, and reports. Maintain a high level of confidentiality and professionalism in all interactions. Prioritize and respond to emails, calls, and follow-ups on behalf of the CEO. Maintain organized digital and physical filing systems. Track expenses, budgets, reimbursements, and vendor payments. Support with research, data collection, and analysis to aid decision-making. Anticipate needs and take initiative to ensure the CEO’s time is optimized. Communication & Coordination Serve as the primary point of contact between the CEO and internal teams, clients, and partners. Ensure smooth communication flow and alignment across departments. Draft and review documents, proposals, and communications with accuracy and professionalism. Assist in project tracking, ensuring timelines, budgets, and deliverables are on schedule. Coordinate with designers, architects, contractors, and vendors for project updates and procurement. Support in client communication, scheduling site visits, and preparing presentation materials. Maintain samples, catalogues, and vendor databases for quick reference. Client & Vendor Relations Act as a liaison between the CEO, clients, and external partners. Draft and manage quotations, invoices, and purchase orders in coordination with the accounts team. Follow up with vendors and suppliers to ensure timely delivery of materials and services. Travel & Event Management Handle domestic and international travel arrangements, including flights, accommodations, visas, and logistics. Plan and coordinate business events, conferences, and networking engagements. Personal & Lifestyle Assistance Manage personal appointments, errands, and household coordination as required. Handle confidential personal and business information with the highest level of discretion. Assist in organizing personal travel, family events, and lifestyle requirements. Assist in organizing events, shoots, or exhibitions related to the firm’s work. Qualifications & Skills: Bachelor’s degree in Business Administration, Management, Communications, Interior Design or related field. 1–3 years of experience as a Personal Assistant, Executive Assistant, Chief of Staff or Studio Coordinator (preferably in a design or creative firm). Exceptional organizational and time management skills with the ability to multitask effectively. Strong verbal and written communication skills. High degree of confidentiality, discretion, and professionalism. Proficiency in MS Office Suite / Google Workspace / Calendar Management Tools / Task Management Platforms. Ability to work under pressure, manage tight deadlines, and adapt to changing priorities. A proactive, self-motivated, and solution-oriented mindset. Knowledge of interior design terminology, materials, and workflow is a plus. Ability to work independently, anticipate needs, and handle fast-paced, design-driven environments. Preferred Attributes: Experience in startups, creative industries, or entrepreneurial environments. Strong interpersonal and networking abilities. Flexibility to handle tasks beyond standard office hours when required. Passion for interior design, architecture, and aesthetics. Strong people skills and a polished, client-facing demeanor. Flexibility to assist with events, shoots, or urgent design deadlines outside standard hours.
