Position Overview
We are seeking a highly organized, confident, and proactive Office Manager to oversee the office’s administrative, operational, and coordination functions. This role is critical to ensuring smooth workflow, supporting senior management, supervising admin staff, and maintaining a professional and efficient work environment.
The ideal candidate must be reliable, disciplined, and capable of managing a wide range of responsibilities in a dynamic consulting environment.
Key Responsibilities
Office Administration & Operations
Supervise administrative staff and ensure all tasks are completed efficiently.
Oversee and manage day-to-day office functioning and ensure smooth operational workflow.
Maintain office policies, SOPs, and procedures to support organizational efficiency.
Manage office infrastructure, equipment, maintenance, and vendor relationships.
Ensure safety, hygiene, and compliance standards are upheld.
Management Support
Assist senior management with scheduling, coordination, documentation, meetings, and follow-ups.
Prepare reports, presentations, and support documents for internal and client-related projects.
Maintain confidential records and sensitive information with discretion.
Client & Consultant Coordination
Coordinate meetings, appointments, and consultancy site visits with hospitals and healthcare partners.
Act as a point of contact for clients for scheduling, documentation, and basic inquiries.
Support consultants with logistics, planning, follow-up actions, and project documentation.
Financial & Administrative Oversight
Assist in monitoring invoices, payments, petty cash, and monthly expense statements.
Maintain vendor accounts, payments, and operational procurement records.
Work closely with the accounts team for budget tracking and financial documentation.
HR & Staff Coordination
Manage attendance, leave records, onboarding documentation, and basic HR formalities.
Help maintain a disciplined, positive, and productive work culture in the office.
Assist in hiring coordination and initial screening where required.
Systems & Documentation
Maintain digital and physical records, project trackers, compliance files, and office databases.
Ensure all documentation is properly organized, updated, and accessible when needed.
Qualifications & Skills Required
Bachelor’s degree in Administration, Management, Commerce, or related field.
6 months to 1 or more years of experience in office management or senior administrative roles; healthcare or consultancy experience preferred.
Strong communication and interpersonal skills.
Excellent command of MS Office (Excel, PowerPoint, Word).
Strong organizational and multitasking abilities.
Leadership skills with the ability to supervise and guide junior admin staff.
Professional demeanor, confidentiality, and problem-solving ability.
Ability to work independently and manage operational priorities effectively.
Additional Details
Working Days: Monday to Saturday
Timings: 10 am to 7pm
Salary: 20-25k Competitive / Based on experience
