Lead Operations & Automation Specialist (Remote)

We’re looking for someone who is both a disciplined operator and a builder of automation-first systems.

Role Overview

This role combines Operations Leadership with Automation. You’ll create clarity, discipline, and systems across the agency while also directly building the automations, integrations, and AI-first workflows that cut manual work.

You won’t just manage projects, you’ll design and implement the “Agency OS” that lets us scale with speed, consistency, and minimal chaos.

Key Responsibilities

1. Build & Implement Operations Systems

• Design and roll out SOPs, workflows, and checklists across all functions (content, design, ads, reporting, client comms).
• Create scalable processes for campaign execution, client onboarding, QA, and reporting.
• Maintain a living SOP library (brief templates, playbooks, QA checklists).
• Set quality bars and automated pre-flight checks (naming, specs, tracking, brand voice, compliance).

2. Lead AI-First & Automation-First Operations

• Build automations using Zapier, Make, Airtable, Notion, and Slack integrations.
• Handle API integrations between tools (project management, reporting dashboards, CRM, design/file storage).
• Create low-code/no-code systems to eliminate repetitive manual work.
• Set up a central data hub (Notion/Airtable + dashboards) for real-time visibility into workloads, performance, and profitability.
• Train the team to integrate AI into daily creative, reporting, and communication tasks.

3. Project & People Operations

• Oversee day-to-day execution rhythms (sprints, stand-ups, async updates).
• Balance workloads between freelancers and core team members.
• Ensure deadlines and quality are met consistently through system-driven workflows.

4. Performance & Growth Ops

• Track and automate KPIs for campaigns, team productivity, and client satisfaction.
• Identify bottlenecks early and fix them with process + automation (not heroics).
• Act as the “ops brain” for the founder, turning vision into repeatable, automated execution.

Experience

• 3 to 5 years in operations/project management at a remote marketing or creative agency.
• Proven ability to build systems from scratch (not just maintain existing ones).
• Hands-on track record in automation + AI for creative/marketing workflows.

Technical Skills

• Strong with Zapier, Make, Airtable, Notion, Slack automation, and Google Workspace.
• Familiarity with APIs, webhooks, and low-code/no-code integration.
• Proficiency with AI tools (ChatGPT, Jasper, Midjourney, etc.) for content, reporting, and ops tasks.
• Bonus: comfort with basic scripting (Python/JavaScript) for custom automations.

Leadership & Operations

• Can lead a lean, remote-first team with empathy and structure.
• Skilled at documentation, delegation, and building clarity.
• Comfortable being the “process enforcer” while protecting creative freedom.
