Job Summary:

We are looking for a dedicated HR & Admin Executive to manage and support various HR and administrative functions in our Mohali office. This role requires a motivated, organized, and detail-oriented individual who can efficiently handle both HR and administrative tasks in a dynamic, multitasking environment. You will oversee day-to-day HR activities such as recruitment, attendance tracking, leave management, payroll processing, and employee engagement, alongside providing administrative support for the office’s operations.


Key Responsibilities:

Human Resources Responsibilities:


Recruitment and Onboarding

  • Source, screen, and schedule interviews for potential candidates.
  • Coordinate the onboarding process for new hires, including documentation, inductions, and training coordination.
  • Manage job postings, job descriptions, and candidate pipelines for various roles.

Attendance and Leave Management

  • Monitor daily attendance and maintain accurate records for all employees.
  • Handle leave requests, track leave balances, and maintain related documentation.

Payroll

  • Collaborate with team to ensure timely and accurate payroll processing.
  • Update payroll records for new hires, exits, and any other changes in employee details in our Payroll software

Employee Engagement

  • Assist in planning and organizing employee engagement activities to foster a positive workplace culture.
  • Address employee queries and provide support on HR policies and procedures.

Documentation and Compliance

  • Maintain employee records, HR files, and ensure confidentiality.
  • Support compliance with local labor laws and company policies.


Administrative Responsibilities:

Office Administration

  • Handle day-to-day administrative tasks, including managing office supplies, facility maintenance, and vendor relationships.
  • Act as the point of contact between the office and various stakeholders for smooth daily operations.

Document Management and Formatting

  • Maintain and organize physical and digital company documents, ensuring accessibility and security.
  • Format reports, presentations, and other documents to ensure consistency and professionalism.

Meeting Coordination

  • Coordinate meetings, appointments, and travel bookings.
  • Prepare and distribute meeting materials, and take minutes when required.

Support for Multi-functional Environment

  • Assist different departments with administrative tasks as needed.
  • Adapt quickly to various ad-hoc tasks and shifting priorities.

Key Requirements:

  • Education:

    Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Experience:

    2+ years of experience in HR and Admin roles, ideally in a multi-functional environment.
  • Communication Skills:

    Excellent verbal and written English communication skills.
  • Software Proficiency:

    Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Interpersonal Skills:

    Strong organizational skills, attention to detail, and the ability to multitask effectively.
  • Adaptability:

    Ability to work independently and manage multiple priorities in a fast-paced environment.

Preferred Skills:

  • Familiarity with HRMS or payroll systems.
  • Prior experience in employee engagement initiatives.
  • Knowledge of basic compliance and labor laws in India.
