Job Description

Role & responsibilities

  • Sourcing, and short-listing Relevant Profiles (Portals, Consultants, Employee referrals, etc) as per the requisition.
  • Maintaining the MIS for requisition.
  • Screening the candidate as per the Manpower requirement.
  • Scheduling Interviews and Follow-up.
  • Provide feedback on profiles from the Online portals and References.
  • Approval Mailer to HOD/Hr Manager and Management.
  • Releasing offer letter after the Approval from HOD/HR manager.
  • Preparation of Appointment letters after verifying the required documents post joining.
  • Providing the documentation and employees data for all statutory payments (PF, PT, Employee Welfare etc)
  • Maintenance of data in HRMS /HRIS /Master data file.
  • Closing the assigned Position / Profile with the timeline.
  • Manage and oversee the entire end-to-end recruitment processes
  • Source potential candidates through job boards and social media by posting job ads and connecting with potential candidates
  • Screen and evaluate applicants based on qualifications
  • Perform necessary background checks on email after each new joining.
  • Conduct interviews in coordination with hiring managers and have written feedback in interview assessment sheet.
  • Handle communication with and between candidates/applicants.
  • Manage job descriptions for all employees who have joined.

Onboarding activities:

Welcome and Introduction

  • Welcome Speech:

    A warm welcome from a senior leader or HR team member to introduce the company culture, values, and mission.
  • Team Introduction:

    Introduce new hires to their team members and key people they'll be working with.
  • Office Tour (if in-person):

    Show new hires around the office, including essential areas like restrooms, pantry and Office space.
  • Sent a welcome note across location with his formal photo and personal details.

  • Presenting Induction to the New Joinee.

  • Briefing the new Joinee about the Leave policy, working hours policy , dress code policy, code of conduct policy.

Company Orientation

  • Company History and Culture:

    Provide an overview of the companys history, vision, values, and goals.
  • Policies and Procedures:

    Brief new hires on company policies, including working hours, dress code, remote work policy, time off, and other important rules.

Role-Specific Training

  • Job Expectations: Clarify the new hires role, key responsibilities, and performance expectations.

  • Mentorship or Buddy Program: Pair the new hire with an experienced team member to offer guidance and support during their first few weeks.

Administrative Tasks

  • HR Paperwork:

    Ensure all necessary forms (PF form, PF Form 5 , BSS Joining Form , etc.) are completed and processed.
  • Tech Setup:

    Set up email accounts, access to necessary software, login credentials, and other tech tools they will need for their role.
  • Equipment Distribution:

    Ensure that the new employee has all the necessary equipment (laptop, phone, Sim card, etc.) and tools they need to perform their job.
  • Regular Check-ins:

    Schedule regular check-ins with HR or managers to assess progress and provide support during the first few months.
  • South Africa Visa and Employee transfer from Indian process to be initiated and completed on time as per the business needs.

Reports:

  • Daily Recruitment Report to HR Manager
  • Weekly / Monthly HR Report to HR Manager
  • New Joining and Exit report weekly to HR Manager By coordinating with Payroll team

Preferred candidate profile

Bachelors degree required.

  • 3-4 years related experience required.
