We support the public health system deliver solutions at scale, to improve maternal and child health outcomes, by partnering with government and communities. Interventions of The Antara Foundation follow two closely integrated paths: to help the government system deliver better quality health care to the community and to support the community to mobilize and seek better health outcomes.We are a young, energetic, and passionate team, working across 8 districts, 38 blocks, 5,700 villages, with 20,000 FLWs, and reaching 379,000 women and 650,000 children in central India. Position Summary
The Head – Administration will provide strategic leadership to TAF’s Administration, IT, and Procurement functions, ensuring seamless organizational operations across all locations. The role demands a proactive leader who can build robust systems, drive operational excellence, and strengthen the operational systems that enable program teams to deliver at scale.
Responsibility
Administration & Facility Management
- Oversee efficient and effective administrative operations across all TAF offices, ensuring smooth functioning of facilities, infrastructure, and support services.
- Strengthen the systems and processes for office management, asset management, travel, logistics, and safety & security protocols.
- Support event and logistics planning and organization of internal and external workshops, meetings, stakeholder visits etc.
Fleet Management
- Oversee the management of field vehicles, ensuring service quality, safety, compliance, and cost-effectiveness.
- Monitor vendor performance, including vehicle availability, maintenance schedules, documentation (insurance, permits, fitness), and adherence to service-level agreements.
- Establish clear protocols for driver deployment, travel planning, and verification of billing/fuel expenses to ensure transparency and efficient utilization.
Procurement & Vendor Management
- Ensure cost-effective, timely, and high-quality procurement processes in alignment with organizational policies and donor guidelines.
- Establish and maintain strong vendor management systems, with periodic reviews of performance, quality, and contractual compliance.
- Review, refine, and update procurement and administrative policies, SOPs, and internal control mechanisms.
IT & Systems Management
- Provide oversight to IT operations, ensuring secure, reliable, and user-friendly systems that support organizational needs.
- Guide the adoption of digital tools and platforms to improve productivity, data security, and operational efficiency.
Team Leadership & Management
- Lead, mentor, and build the capabilities of the Admin and IT teams to ensure high-quality delivery and adherence to standards within a culture of accountability, ownership, service orientation, and continuous improvement.
- Lead annual planning and budgeting for Administration and IT functions, ensuring resource optimization and accountability.
- Monitor budget utilization and provide regular updates to leadership.
Skills And Qualifications
- Postgraduate degree in a relevant field, with 10 plus years’ experience leading administrative functions in medium or large organizations.
- Demonstrated experience in facility and vehicle management, procurement, vendor management and IT oversight.
- Strong leadership, team-building, multitasking and stakeholder-management skills.
- Excellent oral and written communication skills.
- Exceptional attention to detail and ability to design, strengthen, and oversee systems and processes.
- Ability to work independently and collaboratively in a complex, multicultural, and geographically dispersed environment.
